Steps: Set Up Learning
Review setup considerations for Workday Learning.
You can set up Workday Learning to enable:
- Learning administrators to create and manage learning content and enrollments.
- Learners to consume content and create stand-alone lessons for peer learning.
- Configure security for Learning.
- If you have Workday Learning, powered by Sana subscription, set up workers with content creator access. See Steps: Set Up Learning Content Creators.

- (Optional) Translate Business Data.Configure translations for field values on theLearning Topicbusiness object in theLearning: Learning Corecategory to support global learning.
- (Optional) Maintain Drop Course Event Categories.You can create categories for drop reasons and subcategories when dropping learning enrollments.
- You can create and send calendar invites when you schedule classroom training and webinars in course offerings.

- (Optional) Create and send Zoom meeting invites when you schedule classroom training and webinars in course offerings.
- Create and send email translation templates in the specified language of a course offering.
- (Optional) Maintain Learning Unit Types.You can create other unit types for learning courses and course offerings.
- (Optional) Enable learners to express interest in specific course offerings.
- You can create and maintain custom validation messages for learning enrollments.
- (Optional) Configure segmented security to restrict access to learning content.
- Configure theLearningreport on theCareer for Worker Profileprofile group to enable:
- Learners to access their learning history through self-service.
- Managers to access the learning history of their direct reports.
- Access theCopy Standard Report to Custom Reporttask.Copy theFind Workersreport to create a custom report.On theAdvancedtab, add aMass Actionsrow and selectLearning Mass Enrollfrom theWorkday Supplied Mass Actionsprompt, enabling you to mass-enroll learners. The search report must use a data source withWorkeras the primary business object.Security:Set Up: Learning Catalogdomain in the Learning Core functional area.
- Configure these dashboards to set up content containers as worklets and display relevant reports:
- Learning
- Learning Admin
- Learning Trainer
- My Library
The user interface on the Learning Admin dashboard enables learning administrators and trainers to run administrative tasks. Select theView as Adminbutton on learning content reports to view the content as an administrator and to enable Workday to remember this setting preference. If you want to view content as a learner, select theView as Learnerbutton on learning reports or access the content through the Learning dashboard. - Create learning instructors.
- (Optional) Add approval steps that enable administrators or managers to review new:
- Courses
- Programs
- Stand-alone lessons
- Enrollments
- Equivalency rules
Business ProcessOptionManage CourseConfigure theReset Expiration Date on Enrollments for Courseaction step as a completion step after any approval steps on this business process. This configuration initiates theReset Expiration Date on Enrollmentstask when you update a course that has completed enrollments. You can configure condition rules on this step when you want it to apply to specific events on the business process.Configure theEdit Additional Dataaction step if you want to set a value for custom fields on learning courses.Manage Course OfferingConfigure theReset Expiration Date on Enrollments for Course Offeringaction step as a completion step after any approval steps on this business process. You can rescind an event for this business process once there are no outstanding:- Enrollments in the course offering.
- Events for the course offering in progress.
- Mass enrollment events in progress for the course offering.
- Newer events you must rescind.
Manage ProgramConfigure theEdit Additional Dataaction step on this business process to set a value for custom fields on learning programs.See Edit Business Processes. - (Optional) Create Locations.Create training rooms for learning instructor-led classroom training lessons.
- (Optional) Steps: Set Up Learning Assessors.Assign workers or external learning users as learning assessors for course offerings with training activity lessons.

- (Optional) Configure translations in your tenant.
- (Optional) Configure e-commerce capabilities.
- Create content for the learning catalog.
- Enable activity streams on these objects so that learners can collaborate using comments after they enroll in or complete courses or stand-alone lessons:
- Enrollable Learning
- External Lesson
- Learning Lesson
- (Optional) Set up email analytics for Learning to view how learners interact with emails you send from Workday.
- Manage tenant-wide settings for learning.
- Access theEdit Tenant Setup - Systemtask.In theSystem Setupsection, for theFile Type Setup Instructionsoption, ensure that you include.icsto enable learners to download the iCalendar (.ics) file type.
