Setup Considerations: Workday Learning Powered by Sana

Setup Considerations: Workday Learning Powered by Sana

Your organization must have a Workday Learning, powered by Sana subscription. Work with your account team and deployment managers to activate the capability in your tenant.

What It Is

Workday Learning, powered by Sana is Workday's integrated learning offering that combines Workday Learning's system of record, Learning Management, and reporting with Sana's AI-native authoring and learner experience. The same integrated model applies whether you are adopting Workday Learning with Sana or adding this capability to an existing Workday Learning subscription.
Assignments, enrollments, and learning records stay in Workday Learning. Sana provides authoring in
Sana Create
and the in-lesson experience for
Sana Content
lessons. Access to
Sana Create
and
Sana Content
lessons is governed in Workday Learning through domain permissions on your security groups. Workers with content creator access open
Sana Create
from the
Learning Admin Hub
within Workday Learning.
You grant access in Workday through security groups and domain permissions, then provision workers for the integrated Sana Learn experience using
Manage User Provisioning for Workday Products
. You don't manually create user accounts in Sana Learn outside Workday.
In this model, workers with content creator access author in
Sana Create
and submit content to Workday Learning when they have
View
and
Modify
permissions on the
Manage: Learning Native Content
domain. Workers with Learning admin access configure content availability, courses, offerings, assignments, and enrollments in Workday Learning. Learners discover and open courses in Workday Learning and complete Sana content in the integrated Sana learning experience.

Questions to Consider

Questions
Considerations
How do you want to enable this feature based on your organization's subscription service agreement?
You might need to take additional steps to enable this feature based on your organization's subscription service agreement. Your organization is either on the Main Service Agreement (MSA) or the Universal Main Service Agreement (UMSA).
If the value is
MSA
, you must enable this feature through Innovation Services using Enable Innovation Services Feature and AI Data Contributions for MSA Customers.
If the value is
UMSA
, you don't have Innovation Services tasks and reports in your tenants as these are for MSA customers only. You can ignore all information regarding Innovation Services.
How do you want your workers to author in Sana Learn versus manage courses and enrollments in Workday Learning?
  • Workers with content creator access, through a user-based security group with
    View
    and
    Modify
    on the
    Manage: Learning Native Content
    domain, work in
    Sana Create
    .
  • Workers with Learning admin access manage catalog availability, courses, offerings, assignments, enrollments, and records in Workday Learning.
How do you want to assign the
Manage: Learning Native Content
domain: constrained versus unconstrained?
  • Unconstrained access suits workers who must see all native content in the hub.
  • Constrained access limits visibility to owned or explicitly shared content.
How do you want to configure user provisioning for the integrated Sana Learn experience?
Map Learning Administrator, Learning Content Creator, and learner security groups on the
Learning Access
domain before you enable sync. You must complete user provisioning to access Sana Learn. See Steps: Set Up User Provisioning for Workday Learning Powered by Sana.
How do you want to govern AI-generated content and the in-content AI tutor?
Sana Learn supports AI-assisted authoring and an in-content AI tutor for learners. Workers with Learning admin access can enable tutor mode using
Configure Sana Settings
in
Learning Admin Hub
. Align enablement with your Responsible AI, legal, and data-handling standards.
How do you want to handle ongoing updates to Sana content after the first publish?
Assign who may change content in
Sana Create
and who completes related actions in Workday Learning. Communicate material changes to curriculum owners and, when needed, to assigned learners. Avoid parallel unpublished copies that could confuse assignments or history.
How do you want to align security with who creates Sana content, who publishes it, and who supports learners?
Map domains and security groups to those responsibilities. Use least-privilege access. Revisit group membership when people change jobs or when you onboard a new region.
How do you want your learners to know when Sana content is ready for consumption?
Submission from
Sana Create
to Workday Learning is separate from adding the content to a course and offering it. Confirm the course, offering, and assignment steps your organization uses before you announce availability.
How do you want your learners to search for Sana content?
Your learners discover Sana courses through your usual Workday Learning channels; assignments, browse, Course Overview. There is no separate Sana-only learner catalog.

Recommendations

  • Use least-privilege access and test with workers who represent each security group in your design.
  • Establish practices for reviewing, editing, and verifying AI-generated content before broad learner exposure.

Limitations

  • Editing Sana content in Workday: Sana content isn't editable in Workday course tasks. Edit it only in
    Sana Create
    , available from
    Learning Admin Hub
    .
  • One course per Sana content instance: You can add an instance of Sana content to only 1 Workday Learning course. Plan content reuse expectations with stakeholders.
  • Hub list scope: The
    Learning Admin Hub
    table for
Sana content ready to add to a Workday course
    shows only unpublished content.
