Reference: Date Controls

Date controls enable you to set specific dates for events throughout Workday Student. All date controls are available for standard academic periods on any academic unit and level configuration. Workday processes only some date controls on nonstandard academic periods.

Financial Aid Date Controls

Actual Enrollment Usage Start
The date when Workday begins using the student's actual load status for financial aid packaging, disbursement, and other downstream processes. Before this date, Workday uses the
Projected Load Status
on the student's attendance plan.
On and after this date, you can't make changes to the
Actual Enrollment Usage Start
date of an academic period with existing records. Verify that the date you set is correct before it passes.
When you don't set this date, Workday uses the standard start date of the academic period as the
Actual Enrollment Usage Start
date.
Workday processes this date control on standard academic periods only.
Anticipated Disbursement Date (Student View)
The date when Workday begins displaying the
Anticipated Disbursement Date
in student self-service. When you don't set this date, Workday automatically displays the
Anticipated Disbursement Date
to students.
Workday processes this date control on standard academic periods only.
Census Date
Workday uses this date control only for financial aid reaction processing.
The date when Workday switches from automatic processing to manual review when configured as the
Manual Review Date Control
for these reaction policies:
  • Cost of attendance.
  • Merit packaging.
  • Need packaging.
When you don't set this date but select it as the
Manual Review Date Control
for your reaction policy, Workday uses a
Reaction Method
of
Manual Review
.
Workday processes this date control on standard academic periods only.
Cost of Attendance Reaction Evaluation End Date
Merit Packaging Reaction Evaluation End Date
Need Packaging Reaction Evaluation End Date
When the relevant reaction evaluation end date passes, Workday won’t create new cost of attendance or packaging reactions for the academic period for which you configured the date.
Reactions created before the evaluation end date passes will still appear on reaction review reports and require resolution.
Disbursement End Date
When this date passes, Workday stops disbursing financial aid payments during the Student Nightly Job Orchestration for the academic period. Before this date, Workday assesses students each night for pending financial aid that's ready for disbursement.
Workday recommends that you set this date to the end of the academic year.
When you don’t set this date, Workday doesn’t disburse financial aid for the academic period.
Workday processes this date control on standard academic periods only.
Entering Student Awards Display Start
The date when Workday begins displaying financial aid packages for incoming applicants or entering students:
  • On the external student site.
  • In Workday student self-service.
  • In packaging communications.
Workday uses this date control when the earliest active financial aid period record for the award year is marked as an
Entering Period
on the student's attendance plan. When it’s not, Workday uses the
Returning Student Awards Display Start
date control.
When you don't set this date, Workday automatically displays financial aid to entering students.
Workday processes this date control on standard academic periods only.
Pell Recalculation Date
The date Workday uses to:
  • Process Pell Grants.
  • Calculate Pell (POS) load statuses.
After this date, Workday adjusts Pell Grant award amounts when there are changes to a student's:
  • Student Aid Index (SAI).
  • Pell Cost of Attendance (COA).
  • Pell (POS) load status.
Workday recommends that you configure the
Pell Recalculation Date
date control when you select any of these reaction reasons on the cost of attendance, merit packaging, or need packaging reaction policies:
  • Academic Period Pell (POS) Load Status
  • Course Start Pell (POS) Load Status
  • ISIR Edit
  • ISIR Activation
  • Verified Participation Pell (POS) Load Status
  • Weeks of Instruction (Award Year)
  • Weeks of Instruction (Period)
Workday processes the Pell Recalculation date control when you configure it on both standard and nonstandard academic periods.
Course overrides are considered when calculating the Pell Enrollment Intensity (PEI) percentage. However, Workday doesn't change the
Pell Recalculation Date
based on when an override is made.
Returning Student Awards Display Start
The date when Workday begins displaying financial aid packages for continuing students:
  • On the external student site.
  • In Workday student self-service.
  • In packaging communications.
Workday uses this date control when the earliest active financial aid period record for the award year isn’t marked as an
Entering Period
on the student's attendance plan. When it is, Workday uses the
Entering Student Awards Display Start
date control instead.
When you don't set this date, Workday automatically displays financial aid to continuing students.
Workday processes this date control on standard academic periods only.

Student Data Date Controls

Residency Change Window Start
The start and end dates when a student or an administrator can change the student's residency for an academic period.
Students and administrators can select the academic period that this date applies to on these tasks:
  • Change My Residency
  • Update Student Residency
After this date, students and administrators can no longer select the academic period.
If you don't configure the Residency Change date controls, administrators can update a student's residency status at any time.
Workday evaluates the
Residency Change Window
date control on standard academic periods only.

Student Financials Date Controls

Anticipated Aid Consideration Deadline for Registration Soft Drop
Workday checks a student's anticipated payments up until this date when assessing whether to assign a soft drop status to their course registrations.
Workday processes this date control only when you also define the
Registration Soft Drop Window Start
and

dates.
You need to configure this date control and the
Registration Soft Drop Window Start
and
Registration Soft Drop Window End
for registration soft drop for past-due balances.
Since registrations can be for both standard and nonstandard periods, Workday processes this date control when you configure it on both standard and nonstandard academic periods. Workday evaluates this date control relative to the Academic Period of the Anticipated Aid.
Late Course Add Fee Start Date
You can configure calculations to assign late fees to students who register for course sections after this date.
When assigning late-course fees, Workday evaluates the date control for the academic period of the registration instead of the student's program of study.
If you don't configure calculations and set this date control, Workday doesn't assign late fees.
Since registrations can be for both standard and nonstandard periods, Workday processes this date control when you configure it on both standard and nonstandard academic periods.
Late Registration Fee Start Date
You can configure calculations to assign late fees to students who register for the first time in the academic period after this date.
When assigning late registration fees, Workday evaluates the date control for the academic period of the registration instead of the student's program of study.
If you don't configure calculations and set this date control, Workday doesn't assign late fees.
Since registrations can be for both standard and nonstandard periods, Workday processes this date control when you configure it on both standard and nonstandard academic periods.
Payment Plan Sign-Up Window End
Payment Plan Sign-Up Window Start
The dates during which students can sign up for a payment plan in an academic period. After the end date, students can no longer sign up for a payment plan in an academic period.
You can define both this date and the
Payment Plan Sign-Up Window Start
date to enable enrollments into payment plans.
Administrators can enroll students in payment plans throughout an academic period, but only when they define start and end dates for the sign-up window.
If you don't set this date control, Workday doesn't allow students to sign up for a payment plan in the academic period.
Workday processes this date control on standard academic periods only.
Recalculate Past Due Payment Plan Installments Deadline
The date when Workday starts recalculating past-due payments from student payment plans.
Changes in student charge assignments, financial aid awards, or payment applications can affect the amount that students owe. When students are on payment plans, Workday flags past-due amounts in payment plans for recalculation to incorporate the effects of the changes.
If you don't configure this date control, Workday doesn't recalculate changes in past-due payment plans.
Workday processes this date control on standard academic periods only.
Registration Soft Drop Window End
Registration Soft Drop Window Start
The dates during which Workday starts and stops assigning a soft drop status to course registrations. Workday assigns soft drops when a student's past-due balance exceeds the tolerance amounts that you configure on the
Configure Course Registration Soft Drop for Past Due Balance
task.
Between the start date and the
Registration Soft Drop Window End
date, Workday assigns soft drops as part of the
Charges and Installments Aging Job to Assign Holds and Soft Drop
process.
You can further control when Workday assigns a soft drop status by defining the
Anticipated Aid Consideration Deadline for Registration Soft Drop
date.
Without these date controls or the
Anticipated Aid Consideration Deadline for Registration Soft Drop
date, students can't register to make payments against their past-due balances.
Since registrations can be for both standard and nonstandard periods, Workday processes this date control when you configure it on both standard and nonstandard academic periods.

Student Records Date Controls

Conferral Date
The default conferral date for an academic period that Workday uses when you complete programs for students.
Define this date control to enable program completion on the:
  • Complete Programs for Student
    task.
  • Confer Program Completion Event
    business process.
  • Manage Program Completion
    report.
  • Submit Program Completion
    web service.
You can also override the date on the task and web service by using the
Override Conferral Date from Period Date Controls
check box.
Workday displays this date on:
  • Student transcripts.
  • The
    Overview
    report on the Academics profile group of the student profile.
If you don't configure the
Conferral Date
control, Workday defaults to the Academic Period End Date for the academic period.
Workday processes this date control on both standard and nonstandard academic periods.
Faculty Grade Change Deadline
The date when instructors can no longer change grades using the:
  • Change Grade for Student
    task.
  • Change Grade
    check box on the
    Assign Student Grades for Course Section
    task.
Administrators can change grades at any time by using the
Assign Student Grades
task.
When you don't set this date, instructors can change grades at any time, as long as other conditions are true. Example: The instructor has posted the final grade, there isn't a grading event in progress, and the Academic Record is active.
Workday processes this date control on both standard and nonstandard academic periods.
Final Grade Publication
The date when Workday publishes final grades for students.
When administrators and instructors assign final grades before the
Final Grade Publication
date, Workday:
  • Keeps the course registration status as
    Registered
    .
  • Publishes only grades with
    Withdrawn
    or
    Incomplete
    grade category types.
  • Doesn’t display the final grades on student profiles.
On the
Final Grade Publication
date at 12 am Pacific Time, Workday:
  • Changes the course registration status to
    Completed
    .
  • Displays the final grades on the
    Academic History
    report on the Academics profile group of the student profile.
  • Updates units, grade point averages (GPA), and standings to include the registration with the final grade.
  • Calculates Financial Aid class standings based on the number of completed units.
Workday publishes pending grades as final at 12 am Pacific Time on the
Final Grade Publication
date, even if you specify an override time on the date control or a default time zone on the
Edit Tenant Setup - System
task. Example: Users in the Eastern Time Zone will see grades published at 3 am Eastern Time on the
Final Grade Publication
date.
If you've opted in to the Workday 32 - Time Zones feature, then Workday uses the user's local time zone.
When you don’t set this date, Workday:
  • Displays final grades to students as soon as the grades are assigned.
  • Calculates Financial Aid class standings after all courses are graded or after the standard end date, whichever comes first.
Workday processes this date control on both standard and nonstandard academic periods.
Final Grading End
Final Grading Start
The dates during which instructors and faculty members can enter final grades.
After the
Final Grading Start
date, Workday displays:
  • The
    Grade Roster
    on the related actions menu of the course section definition.
  • The course sections on the
    Assign Student Grades for Student Course Section
    task.
After the
Final Grading End
date, Workday no longer displays the course sections on the
Assign Student Grades for Student Course Section
task.
When you don’t set the
Final Grading End
date, instructors can enter grades for the course section at any time after the course section start date or the
Final Grading Start
date, if configured.
Administrators can assign grades at any time using the
Assign Student Grades
task, regardless of these dates.
Workday processes these date controls on both standard and nonstandard academic periods.
Instructor Verify Participation Deadline
The date when instructors can no longer verify attendance for course sections subjected to this date control.
When you set this date, instructors can take these actions on the
Verify Participation for My Course Section
task only up until the deadline:
  • Select from course sections that the date control applies to in the task.
  • Access the task from the related actions menu of their course section definitions.
When you don't set this date, instructors can verify participation for their course sections at any time.
Administrators can verify participation at any time using the
Verify Participation
task, regardless of this date.
Workday processes this date control on both standard and nonstandard academic periods.
Program Completion Application Deadline
The last date that students can select for the current academic period when applying for program completion.
After the deadline, students can no longer select a date from this academic period as their
Expected Completion Date
on the
Apply for Program Completion
task.
Without this date control, students can apply for program completion for the current academic period at any time.
Workday processes this date control on standard academic periods only. We evaluate the applicant’s or student’s
Declare Date
against the program’s
Expected Completion Date
, which is always in the standard academic period
Program Declaration End
Program Declaration Start
The dates during which students can declare a program of study for the given period.
When you set only the
Program Declaration End
date, students can declare the program up until the end date.
When you set only the
Program Declaration Start
date, students can declare the program at any time after the start date.
When you don't set either date, Workday displays
Academic Periods
for a year that students can select from for
Program Declaration Application
.
Workday processes these date controls on both standard and nonstandard academic periods.

Student Registration Date Controls

Drop with W Grade End
The last date that a student can withdraw from a course section and receive a withdrawal grade. You can still manually withdraw students from course registrations after the date specified in this date control.
Students can withdraw from courses between the dates specified on these date controls:
  • Drop without Record End
  • Drop with W Grade End
If you don’t configure the
Drop with W Grade End
date, students won't be able to withdraw from course registrations.
Workday processes this date control on both standard and nonstandard academic periods.
Drop without Record End
The last date that a student can drop a course section and have Workday display it on their academic record as
Unregistered
instead of a withdrawal.
When this date control is in the past, you can still drop students from courses with a registration status of
Unregistered
instead of
Withdrew
when you access these tasks and this web service:
  • Drop Courses for Student
    .
  • Drop Student Course Registration
    . When you use this task, select a
    Drop Date
    that's before the date control date.
  • Put Student Course Dropped Registration
    .
When you define both this date control and
Last Add Date
, students can swap registrations before the earlier date of the two dates.
If you don’t configure the
Drop without Record End
date control, students won't be able to drop course sections with an
Unregistered
status.
Workday processes this date control on both standard and nonstandard academic periods.
Enrollment Window End
Enrollment Window Start
The dates during which you can enable and can no longer enable registration appointments for an academic period.
You can create multiple registration appointments by configuring the
Enrollment Window Start
and
Enrollment Window End
date on different academic unit level configurations and programs of study. Multiple registration appointments enable students to have multiple enrollment windows.
After the
Enrollment Window End
date passes, students can register for courses without an appointment until the
Last Add Date
.
When there are over 3,000 students without a registration appointment for the academic period, you can't set the
Open Enrollment Start
date.
Workday doesn't apply overrides for this date control on the
Override Course Section Date Controls
task.
Without the
Enrollment Window Start
and
Enrollment Window End
dates, you can’t configure registration appointments.
Workday processes this date control on both standard and nonstandard academic periods.
Last Add Date
The last date that students can register for course sections.
After this date, Workday stops displaying the
Register
button on:
  • The student's academic plan.
  • The student's saved schedule.
  • The
    Find Course Sections
    report.
  • Course listings.
Administrators can continue to register students for course sections after this date.
When you define both this date control and
Drop without Record End
, students can swap registrations before the earlier of the two dates.
The
Enrollment Window End
date and this date don't impact each other.
If you don't configure the
Last Add Date
, students won’t be able to register for courses.
Workday processes this date control on both standard and nonstandard academic periods.
Last Date to Waitlist
The last date students can add themselves to a waitlist of a course section, if a waitlist exists.
After this date, students can't add themselves to a course section waitlist. This prevents students from incorrectly assuming that they still have an opportunity to enroll into a course section.
Administrators can bypass this date control and waitlist students past the configured date.
Workday processes this date control on both standard and nonstandard academic periods.
Last Day to Edit Grading Basis
The last date that a student can request changes to the grading basis on a course registration.
Workday continues displaying the
Edit Registration
button on the student's
View My Courses
report after this date, but prevents them from submitting requests.
Administrators can edit the grading basis and approve student requests to change the grading basis at any time, regardless of this date.
If you don’t configure this date control, students can edit their grading basis until the registration is graded.
Workday processes this date control on both standard and nonstandard academic periods.
Mass Drop from Waitlist Date
The date when administrators can start dropping students from multiple course waitlists at once using the
Mass Drop from Waitlist
task. When administrators use the task before this date, all students on course section waitlists remain on the waitlist.
Administrators can still drop individual students from course waitlists at any time without this task.
To ensure that students register for courses in the correct order, we recommend you configure the
Mass Drop from Waitlist Date
date control to be after these date controls within the same academic period:
  • Enrollment Window End
  • Last Add Date
Workday processes this date control on both standard and nonstandard academic periods.
Open Enrollment Start
The date when students can start registering for course sections, regardless of registration appointments.
On this date, Workday displays the
Register
button on:
  • The student's academic plan.
  • The student's saved schedule.
  • The
    Find Course Sections
    report.
  • Course listings.
For better performance, you can set this date and the enrollment window dates only when fewer than 3,000 students don't have registration appointments.
Students can register for courses only when you set this date, the enrollment window start and end dates, or all 3 dates.
If you don’t configure this date, Workday doesn't provide students with an open enrollment window for registration. Students can register only during registration appointments.
Workday processes this date control on both standard and nonstandard academic periods.
