Concept: Waitlists
Students can use waitlists to reserve priority for course sections at full section capacity, even when they have conflicts with those sections. You can also enable students to join the waitlists of open course sections.
To manage course section waitlists, you can configure:
- Workday to manage course section waitlists based on the policies you set.
- Course sections to be manually managed by you.
When there's open capacity on a course that has a manually managed waitlist, Workday prevents students from registering into those open seats if there are already students on the waitlist. When the remaining open seats are reserved capacity only, eligible students:
- Can register for those open seats if the other students on the waitlist aren't eligible for the reserved capacity seats.
- Can't register for those open seats if the other students on the waitlist are eligible for those reserved capacity seats.
Waitlist Promotion
For course section waitlists that aren't manually managed, Workday moves students through the waitlist based on the course waitlist policies you configure.
When the number of students enrolled is less than the
Section Capacity
of the course section, you can configure Workday to either:
- Automatically promote waitlisted students to enrollment sequentially.
- Notify students of their eligibility to enroll. From the waitlist promotion notification, they can opt to register for the course, defer their decision, or remove themselves from the waitlist.
When students join multiple course section waitlists for the same course and register for 1 of those sections, they won't be automatically removed from the other course section waitlists. You or students can manually remove them from waitlists.
Waitlist Notifications
Workday notifies students of their eligibility to enroll when there's an open seat in the course section and the student has:
- An active academic period record.
- No restrictions preventing them from registration.
- No current waitlist availability events for the course section.
You can also configure course waitlist policies to notify students with certain registration restrictions.
Students can still register for the course section from their waitlist promotion notification, even if they've already registered in a different section of the same course. They can drop the duplicate course section from the same notification.
If students don't respond to the waitlist promotion notification, the notification expires and you can determine what happens to the student's waitlist position on the policy.
To enable Workday to notify the next student on the waitlist, you need to configure a mass operation to remove expired notifications. Workday repeats this process until all waitlisted students are notified.
Bypass Waitlist Requirements
For students who don't meet certain requirements to join course section waitlists, you can help them by:
