Steps: Set Up Registration Appointments
- Configure these date controls for the academic period on theMaintain Academic Period Date Controlstask:
- Enrollment Window Start.
- Enrollment Window End.
- Security: These domains in the Student Records functional area:
- Self-Service: Registration.
- Set Up: Access to Registration.
During the enrollment window of each academic period, you can configure when different groups of students can register for courses. Setting up registration appointments enables you to provide priority registration to certain groups of students. Example: You grant the earliest registration appointments to fourth year students, helping them enroll in the last courses that they still need for graduation.
After you configure how registration appointments are assigned to students, you can schedule Workday to periodically reevaluate student eligibility for those appointments.
For optimum performance, registration appointments can't include more than 3,000 students. If you create multiple registration appointments within the same academic unit and level configuration or program of study, they must start 15 minutes after each other.
- Access theMaintain Academic Period Registration Appointmentstask.Complete the task:
Option Description Roll Over Registration Appointments From(Optional) Select the academic period or program of study from which you want to roll over registration appointments. Workday rolls over the exact registration appointments from the selected academic period or program of study. You can't roll over registration appointments for academic periods or programs of study that have been configured previously, even if they no longer contain appointments.Restrict by Enrollment Access PolicyWhen selected, students have access to only the courses defined by their enrollment access policy. This option is useful for students with multiple academic records.Example: Aaron Day is enrolled in both the Economics Major undergraduate and MBA graduate programs. You configure these registration appointments:- Economics Major undergraduate program students register on Monday.
- MBA graduate program students register on Wednesday.
Restrict by Enrollment Access Policycheck box for the Economics Major undergraduate program, Aaron can only register for undergraduate courses on Monday. On Wednesday, Aaron can register for both undergraduate and graduate courses.Eligibility RuleThe eligibility rule that you select determines the students who can register during an appointment. When students meet more than 1 eligibility criteria, Workday assigns the earliest appointment to them.Student Cohort eligibility rules apply to students who are members of the cohort as of the standard start date of the academic period. To use a condition rule as an eligibility rule, selectAcademic RecordforBusiness Objecton theCreate Student Condition Ruletask.Student OverflowWhen a registration appointment applies to more than 3,000 students, this column displays the students who won't be assigned to that registration appointment. To ensure all students receive a registration appointment and enable them to register at the expected time, you must create additional registration appointments and modify your existing appointments to no longer exceed 3,000 students. Example: You want to create a registration appointment for all undergraduate students at your institution, but the total number of undergraduate students exceeds 3,000. To separate them, you create these registration appointments instead:- Students who have earned at least 30 units.
- Students who have earned at least 60 units.
- Students who have earned at least 90 units.
When this value is more than 3,000 on a registration appointment, you won't be able to configure theOpen Enrollment Startdate control for the academic unit and level configuration or program of study that the appointment belongs to. - (Optional) Schedule Registration Appointment Refreshes.
