Set Up Registration Soft Drops for Past Due Balances
- For each academic period in consideration, add date values for these date controls:

- Create Student Messages to notify students with an email about their soft drop registration status.
- Security:Set Up: Student Collectionsdomain in the Student Financials functional area
When a student drops a course, reregistering for the course can be difficult, particularly when the course has a waitlist. When students have a past due balance, Workday can soft-drop them from their registrations automatically instead of fully dropping them. Soft drops place students in a pending registration status without:
- Actually dropping them from the course.
- Impacting their academic record.
Soft drops enable you to:
- Avoid dropping students unfairly from their courses when due to delayed financial aid.
- Better accommodate student populations that would experience significant consequences for dropping courses. Example: International students might have visa issues if their enrollment drops below a minimum number of units.
Workday considers anticipated payments against a student's past due balance within the dates on the
Anticipated Aid Consideration Deadline for Registration Soft Drop
academic period date control.Example: Workday doesn't place a student on soft drop when there's both:
- A past due balance of 900 USD.
- An anticipated payment of 1,000 USD before the deadline.

Option Description InstitutionAcademic LevelExclude International StudentsStudent Populations to ExcludeDefine the student population to apply soft drops for past due balances.Soft Drop Notification MessageSelect an email that notifies students when Workday places them on a soft drop because of their past due balances.Account Tolerance Amount(Optional) Enter the threshold for student accounts below which Workday doesn't soft-drop students from their registrations.Example: A student has 200 USD in past due charges on their account. The past due tolerance amount is 500 USD, so Workday doesn't soft-drop the student.Charge TypesSelect the charge types that count toward soft drops. You can exclude individual charge items with these charge types from soft drops by using theEdit Student Charge Itemtask.Tolerance Amount per Charge(Optional) Enter the threshold for an individual student charge below which Workday doesn't soft-drop students from their registrations.Example: A student has 40 USD in past due tuition charges. The tolerance amount for tuition charges is 100 USD, so Workday doesn't soft drop the student. When you configure both an account tolerance amount and a tolerance amount per charge, Workday soft-drops a student when the student exceeds both tolerances.Example: A student has 200 USD in past due tuition charges, which exceeds the tolerance amount of 100 USD for tuition charges. But because this amount is below the 500 USD account tolerance, Workday doesn't soft-drop the student.Grace Period Days Per ChargeEnter the number of days beyond the due date for a charge that doesn't count as past due. Workday considers a charge past due only after the grace period ends.Schedule ActiveWhen you select this check box, you can also specify theStart Timeto begin past due balance notifications to students. Workday bases the time zone on your tenant settings.
Workday:
- Checks for past due balances and applies soft drops for students nightly.
- Sets theInvalid Registration Statusfor a course toPending Drop for Non-Paymentwhen the total past due balance is above both tolerance amounts during the registration soft drop window.
- Notifies students of the soft drop.
