Steps: Manage Student Payment Plans

To enroll students in payment plans, ensure:
  • The student's program of study has a payment plan policy.
  • The student has unpaid student charges for the academic period.
  • The student doesn't have any anticipated financial aid, or their anticipated financial aid is insufficient to cover their unpaid charges.
  • You've configured these date controls for the academic period:
    • Payment Plan Sign-Up Window End
    • Payment Plan Sign-Up Window Start
As a student financial administrator, you can:
  • Enroll a student in a payment plan during an academic period, outside of the payment plan sign-up window.
  • Cancel payment plans when a student:
    • Signs up by mistake.
    • Needs to sign a new payment plan agreement.
    • No longer needs a payment plan.
  • Enroll more than 1 student in payment plans at the same time.
During the payment plan sign-up window, students can self-enroll for payment plans themselves.
When you use journal grouping and there’s a fee associated with the payment plan, Workday creates student charge transaction groups when a payment plan is canceled or when you mass enroll students into a plan.
  1. Enroll or cancel 1 or more students in payment plans based on the student's needs.
  2. As you manage the student payment plans, consider:

    Configure the
    Student Payment Plan Enrollment Event
    business process and security policy in the Student Financials functional area.
    Enrolling a student in a payment plan for the current academic period (AP) or the next 2 future APs using a template.

    Cancel Payment Plan
    from the related actions menu of the student.

    domain in the Student Financials functional area.
    Canceling an existing payment plan.
    Example: Cancel and re-enroll students when the terms of their payment plans change.
    Academic Unit Policy Viewer
    Set Up: Academic Policies
    domain in the Academic Foundation functional area.
    Determine the effective dated policy snapshot configurations being used by selecting the Academic Unit and Academic Level and the Student Payment Plan Policy when prompted.
    Create Student Flex Plan
    Manage: Student Collections
    domain in the Student Financials functional area.
    Enrolling students in payment plans for selected charges that extend beyond the current academic period.
    Mass Enroll Payment Plan
    Manage: Student Collections
    domain in the Student Financials functional area.
    Enrolling a group of students in payment plans at the same time using a template.
When you:
  • Enroll students in payment plans, payments are now due on the installment due dates instead of the original charge due dates. All overdue charges included in the plan become current and Workday no longer considers the student past due for those charges.
  • Cancel a payment plan, all charges in the payment plan revert to their original due dates. Workday considers all unpaid charges with past due dates as past due, even if the student was current on their installments.
