Assign Student Grades

You and your instructors can assign interim and final grades to students. Instructors can only access grade rosters for the course sections they’re assigned.
Instructors can access the grade roster for a course section when:
  • The course section controls grading.
  • The course section has at least 1 registration for the selected academic period.
  • They access the roster between the
    Final Grading Start
    and
    Final Grading End
    dates configured on the
    Maintain Academic Period Date Controls
    task. When you don’t configure the
    Final Grading Start
    date, instructors can access the roster when the section has at least 1 registration, until the
    Final Grading End
    date, if configured.
You can set up the business processes with different approval routing. Example: Grading by teaching assistants require instructor approval, while final grade changes require department chair approval.
You can view information about all grading business processes using the Grade Event Reportable business object (secured to the
Public Reporting Items
domain).
  1. Access 1 of these tasks:
    Option Description
    Assign Student Interim Grade for Student Course Section
    (Administrators and Instructors) Assign interim grades to 1 or more students from the interim grade roster.
    Workday displays custom grid configurations instead of the grade roster policy and Workday-delivered fields.
    Assign Student Grades
    (Administrators) Assign final grades to 1 or more courses of a student.
    This task initiates the
    Student Grade Update Event
    business process.
    Assign Student Grades for Student Course Section
    (Administrators and Instructors) Assign final grades to 1 or more students registered in a course section.
    (Instructors) Access the task by selecting
    Course Section Definition
    Grade Roster
    from the related actions menu of a course section definition.
    Workday displays custom grid configurations instead of the grade roster policy and Workday-delivered fields.
    This task initiates the
    Student Course Section Grade Event
    business process.
  2. As you assign final grades, consider:
    Option Description
    Grade Note
    Applicable only for grades with a
    Grade Category Type
    of
    Allow Grade Notes
    on the grading scheme.
    Last Date of Attendance
    Applicable only for grades with a
    Grade Category Type
    of
    Allow Last Date of Attendance
    on the grading scheme.
    If
    Last Date Of Attendance
    is already in use on these tasks, Workday populates this field with that date:
    • Verify Participation
    • Verify Participation for My Course Section
    When you enter or edit this field, Workday updates the date on the tasks for verifying participation when Workday publishes the final grade. Example: When you assign grades before the
    Final Grade Publication
    date, Workday updates the last date of attendance on the
    Verify Participation
    task when final grades are published.
    Change Grade
    Only displays when you've posted final grades earlier.
Students can view their interim grades on the
View My Interim Grades
report (secured to the
Self-Service: View My Interim Grades
domain in the Student Records functional area).
When you assign final grades before the
Final Grade Publication
date, Workday:
  • Publishes any Withdraw or Incomplete grades.
  • Considers all other grades as pending, and keeps the course registration status as
    Registered
    . You can view the pending grades in the tasks where you assigned the grade.
On the
Final Grade Publication
date at 12 am Pacific Time or when you don’t set the
Final Grade Publication
date control, Workday publishes all grades as final.
When publishing final grades, Workday:
  • Changes the course registration status to
    Completed
    .
  • Calculates grades based on the grading scheme that's effective as of the start date of the course section.
  • Calculates units, grade point averages (GPA), and class standing for students.
  • Updates the
    Academic Progress
    report on the Academics profile group of the student profile.
  • Displays student grades on the
    Academic History
    report on the Academics profile group of the student profile.
You can report on assigned grades by using the
Grade Events
report data source (secured to the
Reports: All Grade Events
domain in the Student Records functional area).
When you assign final grades before the
Final Grade Publication
date, you can manually publish the pending grades by accessing these tasks (secured to the
Manage: Final Grades
domain in the Student Records functional area):
  • Find Pending Grades to Publish
    report, to publish pending grades for multiple students.
  • Student Course Registration
    Publish Pending Grade
    from the related actions menu of the course registration with a pending grade. This task enables you to publish the pending grade for an individual registration.
