Concept: Date Controls

Date controls represent milestones, events, or deadlines that you can schedule. When you set up a date control, processes in Workday Student related to it behave differently depending on whether the date has passed.
You can apply date controls to:
  • Academic periods.
  • Fixed and dynamic course sections.

Date Control Inheritance

Date controls inherit according to your academic structure. Lower nodes in your academic structure inherit date controls configured on their upper nodes:
  • Workday converts existing date control data with Academic Unit and Level or Program of Study context based on Calendar Policy locations.
  • Academic unit level configurations inherit date control settings from the superior academic unit level configuration.
  • Standalone programs of study inherit date controls from the owning academic unit and level.
  • Course sections tied to academic periods inherit date controls from the academic unit and level on the course section definition.
  • Dynamic course sections inherit the rules that you set up on the academic calendar.
  • Some date controls aren't applicable to Programs of Study or Course Sections.
Workday populates the full list of Date Control values for Academic Unit and Levels to support new Inherited and Override information. You can override the value of an inherited date control by setting a value for it on the same academic period for:
  • Lower academic unit level configurations.
  • Standalone programs of study.
You can also override inheritance by applying date control values for course sections.

Date Control Rules

You can create rules for date controls for an academic calendar on:
  • Academic period types.
  • Dynamic course sections.
Like academic period date controls, you define rules for an academic unit level configuration or a stand-alone program of study. Lower nodes in your academic structure inherit the rules that you create on upper nodes. Using your rules, Workday calculates the dates and applies them to the academic periods for each node. When you create or edit date control rules, Workday only applies them to future academic periods. Creating or editing an Academic Period Type Date Control doesn't impact academic periods in the past. New rules only affect future academic periods that don't already have overrides.
Rules for academic period types are optional, but save you time when setting up shared date controls. Specifying rules for specific programs and academic unit level configurations enables you to set more granular rules for date controls. Rules you create on lower nodes override rules inherited from the above nodes. Date controls that you set on specific academic periods override the rules you create for academic period types.
Rules that you create for dynamic course sections apply to all dynamic course sections on the academic calendar, regardless of when you create or edit them or if the course section has already started.

Value of None

When you don't set a date control value on an upper node, Workday continues searching for a value to inherit from the next node up. When Workday doesn't find a value, no value exists for the date control. You can select a value of
None
 on a date control, indicating that the academic unit level configuration, program of study, or course section doesn't:
  • Inherit a value for the date control.
  • Use the date control.
Date control inheritance also applies to values of
None
. You can override an inherited value of
None
 for any date control.
