Reference: Student Eligibility Rules for Course Registrations

When you create or edit courses and course sections, you can add student eligibility rules to define enrollment requirements for students. Example: To be eligible for MATH 310, students must:
  • Complete MATH 220 and MATH 230 with a grade of C or higher.
  • Have an academic standing of
    Good Standing
     or
    Dean's List
    .
  • Have a program of study of
    Mathematics Major
     or
    Mathematics Minor
    .
You can configure individual course sections to have eligibility rules different from their course.
Workday provides these eligibility rule types that require a student to:
Eligibility Rule Type
Requirements
Athletic Team
Be part of the specified athletic teams.

Combination
Complete a combination of eligibility rules. To prioritize and group multiple eligibility rules, use the
(
 and
)
 columns.
Example: Students must:
  • Have both:
    • Earned 30 units or more.
    • A GPA of 3.5 or higher.
  • And:
    • (Have both:
      • Completed or be in the process of completing 1 of BIOL 300 or BIOL 350.
      • 1 or both of the
        Biological Sciences Major
         or
        Biological Sciences Minor
         programs of study.
    • Or have achieved a learning outcome of
      A continued understanding of Basic Zoology
      .)
Competency - Learning Outcome
Achieve or be in the process of earning the specified competencies or learning outcomes.
Course Permission
Receive department permission for the specified course.
Students can request department permission when they select courses with this configuration from the
Find Course
 report.
Course Requirement
Have completed or be in the process of completing the specified courses. When you configure your eligibility rule, you can select 1 of these qualifiers to ensure that a student:
  • has completed
     the required course by the start date of the course section that the eligibility rule applies to.
  • has completed or is in the process of completing
     the required course by the end date of the course section that the eligibility rule applies to. When ineligible students attempt to register for the course, Workday enables them to register for the required courses at the same time.
In the Limits grid, you can specify the number of course attempts that a student can use to meet the eligibility rule.
Example: Students must complete 2 courses from these smart lists with a grade of C or higher:
  • Biology Electives - Upper Division
  • GE Upper-Division - Natural Sciences
You use the Limits grid to ensure that Workday only counts 1 registration from each smart list. This prevents students from being eligible when they only complete 2 courses from 1 smart list.
Grade Requirement
Achieve the specified grades and GPA scores.
Examples: Students must:
  • Have a GPA of 2.0 after completing courses listed in the
    Introductory Biology Courses
     eligibility rule.
  • Complete 12 units from the
    Introduction to Music
     smart list with a GPA of 2.5 or higher.
Program of Study
Have the specified program of study types, programs of study, or program areas.
Workday also evaluates a student's approved, future-dated program of study when evaluating program of study eligibility requirements for:
  • Course registrations.
  • Registration appointments.
  • Reserved capacity placements.

Student Cohort
Be part of the specified student cohorts.

Test Achievement
Achieve the specified scores on tests or test sections. Example: Students who achieve a score of 30 or higher on the English section on their ACT test.

Unit Requirement
Complete a specified number of units. Example: Students must complete 12 units in residence from the
GE Upper-Division Natural Sciences
 smart list with a grade of D or higher.
When you select the
has completed or in the process of completing
 qualifier, Workday determines student eligibility using units from completed and in-progress course sections. The academic period of any in-progress course sections must end before the start date of the period for which Workday is evaluating eligibility. Workday references the standard academic period, standard start date, and standard end date for this qualifier.
You can also limit the number of units from specific courses or sets of courses. Example: Students must complete 120 overall units and Workday only counts up to these units from these smart lists:
  • 10 units from
    GE Lower Division - Art
    .
  • 4 units from
    GE Lower-Division - Music
    .
  • 0 units from
    GE Lower-Division - Physical Education
    .
