Steps: Set Up Instructor Eligibility

Workday Student provides a unified platform with Workday HCM for your instructor-related processes. Workers, academic affiliates, and students with an academic appointment can teach courses. The academic appointment must have a track type that includes instructional activities.
Assigning instructors to roles on a course section enables you to control their permissions on an assigned course section. Example: A primary instructor can have every privilege on a course section, but a teaching assistant can't submit final grades for a student.
When a course has multiple academic units in the course definition, instructors only need to be eligible for 1 of the units.
  1. Access the
    Maintain Academic Track Types
    task.
    Select the
    Includes Instructional Activities
    check box for each track type that you want to be able to assign to instructors.
    Security:

    domain in the Academic Faculty functional area.
  2. Access the
    Maintain Assignable Roles
    task.
    In Workday, you assign instructors to course sections. To set up instructor roles, select
    Course Section
    in the
    Enabled for
    prompt.
    You can map your instructor roles to any of these Workday-delivered roles for reporting purposes:
    • Course Administrator.
    • Instructor.
    • Teaching Assistant.
    You can map only 1 role to each Workday-delivered role.

    domain in the Organizations and Roles functional area.
  3. Access the
    Add Academic Appointment
    task.
    Add an academic appointment to the worker or affiliate to whom you plan to assign an instructor role.The
    Track Type
    you select must have
    Includes Instructional Activities
    selected.
    Configure the
    Add Academic Appointment
    business process and security policy in the Academic Faculty functional area.
  4. Access the
    Designate Instructor Eligibility
    task.
    Select the instructor from the
    Academic Appointee
    prompt. Specify each
    Academic Unit
    that the instructor is eligible to teach for. The options available in each field depend on the options that you select in the previous fields.
    The instructor’s eligibility must start on or before the end date of their assigned course section. You can select the
    Inactive
    check box to inactivate the instructor's eligibility as of the effective date.
    Configure the
    Designate Instructor Eligibility
    business process and security policy in the Student Records functional area.
  • You can assign eligible instructors to teach course sections on these tasks:
    • Create Course Section
      .
    • Edit Course Section
      .
  • Inactive instructors are unavailable for course section assignments.
  • You can view details of an instructor's past, present, and future eligibility on the
    View Instructor Eligibility
    report.
Create course sections and assign instructors to them.
