Steps: Set Up Student Athletics

You initiate the
Athletic Team Membership Event
 business process when you add, remove, or update team members using the tasks and web services on this business process.
You can configure the tasks provided on this business process by using Workday's Hide or Require Framework. You can also create roles, statuses, teams, and eligibility rules for student athletes at your institution.
Workday provides athletic report fields on the
Athletic Team Membership Event
 and other associated business processes and on various data sources.
  1. Configure the
    Athletic Team Membership Event
     business process and security policy in the Student Core functional area.
  2. (Optional) Edit Business Processes.
    You can edit the
    Athletic Team Membership Event
     business process to ensure that the appropriate users or groups have permissions to add, remove, and update students on athletic teams.
  3. Configure these tasks as initiating actions steps on the business process:
    • Add Student to Athletic Team
    • Remove Student from Athletic Team
    • Submit Student Athletic Team Membership (Web Service)
    • Update Student on Athletic Team
  4. Add business process steps for approvals.
    Workday provides these action steps to configure approvals and send back the task:
    • Review Athletic Team Membership
    • Revise Athletic Team Membership
  5. Edit Domain Security Policies.
    Configure security for these domains in the Student Core functional area:
    Domain
    Description
    Set Up: Athletics
    Create and edit athletic roles, statuses, and teams.
    Create, update, and retrieve athletic roles, statuses, and teams using the web services secured to this domain.
    Student Data: Athletics
    Students and administrators can view the Athletics profile group and the
    View Athletic Team
     report.
    Self-Service: Athletics
    Students can view their own athletic data, such as their athletic roles, statuses, and teams.
  6. Activate Pending Security Policy Changes.
  7. Create:
    • Athletic teams
    • Athletic roles
    • Athletic statuses
    • Athletic memberships
  8. For
    By Functional Area
    , select
    Student Core
    Athletic Team Membership Event
    .
    On the business process, you can configure these optional fields to display:
    • Academic Period
    • Academic Roles
    • Athletic Status
    • Primary Athletic Team
  9. (Optional) Access the
    Configure Profile Group
     task. Configure the
    Athletics for Student
     profile group.

  10. Create Custom Reports.
    On the
    Athletic Team Membership Event
     business process, Workday provides report fields that you can use to create custom reports and condition rules.
    Workday also provides athletic report fields on these business objects:
    • Athletic Team Assignment Snapshot
    • Athletic Role
    • Athletic Status
    • Athletic Team
    • Academic Record
    • Financial Aid Period Record
