Create Student Eligibility Rules

You can create an eligibility rule that identifies a specific population of prospects or students. After you create rules, you can use them to:
- Assign completion requirements to applications.
- Create academic requirements for completing a program of study.
- Control registration appointments for enrolling in classes.
- Control which students can register for courses or activities.
Example: Create a rule that captures all applicants that are at least 18 years old.
- Access theCreate Student Eligibility Ruletask.
- From theEligibility Rule Typeprompt, select from the Workday-delivered rule types. Workday displays different fields based on the rule you select.Example:
- AnAgerule enables you to set a minimum age in whole years.
- ATest Achievementrule qualifies students based on their test score for a specific test.
- ACombinationrule qualifies students based on whether they satisfy all or any of the combination of rules you select.
By default, Workday displays machine learning recommendations based on your most recently and frequently used selections. You can optionally disable these recommendations. See Concept: Form Completion Assistant. - ClickOK.
- As you complete the task, consider:
Option Description Academic UnitSelect the academic unit that you can use the eligibility rule for.By default, Workday displays machine learning recommendations based on your most recently and frequently used selections. See Concept: Form Completion Assistant.Rule NameEnter a unique name for the eligibility rule. Example:Minimum Age = 18.For recommendations, see Reference: Student Eligibility Rules Naming Conventions.ExcludesSelect the check box to exclude populations that meet the eligibility condition.Eligibility CriteriaWorkday filters results based on the condition you select.MeaningWorkday displays a description that reflects what population your rule captures.Use Custom MeaningSelect the check box to specify a custom meaning to help students and administrators understand the eligibility rule. When you select this option, Workday displays your custom text instead of the auto-generated meaning.Example: Workday auto-generates the meaning, "Student has completed all of the following course(s): MATH 123 - Advanced Mathematics with grade greater than or equal to C." You can override this message and use a custom meaning that says, "Student is eligible if they've completed MATH 123 with a C- or better." - ClickOKandDone.

for any eligibility rule to see where your rule is being used.Create a combination rule that selects non-U.S. citizens who don't speak English:
- Create a rule to select non-U.S. citizens.
- Access theCreate Student Eligibility Ruletask.
- Select anEligibility Rule TypeofCitizenship Status.
- Enter aRule NameofNon-U.S. Citizen.
- Select theExcludescheck box.
- ForEligibility Criteria, selectCitizen (United States of America).
- Create a second rule calledNon-English Speaker.
- Select anEligibility Rule TypeofLanguage.
- Enter aRule NameofNon-English Speaker.
- Select theExcludescheck box.
- ForEligibility Criteria, selectEnglish.
- Combine the 2 rules:
- Select anEligibility Rule TypeofCombination.
- Enter aRule NameofNon-English Speakers Who Are Non-U.S. Citizens.
- ForEligibility Criteria, select the 2 rules you created before.
You can use the
Find Student Eligibility Rules
to search for and view existing rules.On the report, the
In Use
column indicates rules that are active. You can view the Usage Count
and use instances of the rule from the related actions preview of the rule.From the related actions menu of an existing rule, you can:
- Edit or copy the rule.
- Inactivate or delete a rule that isn't in use. Use caution when deleting eligibility rules because the action is irreversible.
