Create Course Requirement Eligibility Rules

Security:
  • Manage: Admissions Foundation
    domain in the Admissions functional area.
  • Set Up: Student Eligibility Rules
    domain in the Academic Advising functional area.
You can create student eligibility rules that identify students based on the courses they have enrolled in or completed. You can define the eligibility criteria to consider:
  • The number of courses within specific courses or smart lists.
  • Only courses with certain grades.
  • Maximum registration attempts for specific courses or smart lists.
  1. Access the
    Create Student Eligibility Rule
    task.
  2. From the
    Eligibility Rule Type
    prompt, select
    Course Requirement
    .
  3. Click
    OK
    .
  4. Complete the
    General
    section:
    Option Description
    Rule Name
    Enter a name to identify the eligibility rule.
    Academic Unit
    Select the academic unit where the eligibility rule can be used.
    Academic Level
    (Optional) Select the academic level where the eligibility rule applies.
  5. Complete the
    Rule Details
    section to define the eligibility criteria:
    Option Description
    Qualifier
    Select whether to include courses that the student:
    • Has completed.
    • Has completed or is in the process of completing.
    • Has enrolled in.
    Selector
    Select whether to consider any or all courses on the rule.
    When you select a qualifier of
    has completed
    , Workday also displays a minimum option, enabling you to define a minimum course count for the rule.
    Number of Courses
    Enter the number of courses to consider for the rule.
    Courses
    Select the courses or smart lists to consider for the rule.
  6. (Optional) In the
    With Grade
    section, specify the grade criteria to consider for the rule. Workday looks at completed courses with grades that meet the specified
    Operator
    and
    Grade
    values.
  7. (Optional) In the
    Limits
    section, specify the maximum number of registrations from specific courses or smart lists to count for the eligibility rule.
  8. (Optional) In the
    Custom Eligibility Rule Meaning
    section, select
    Use Custom Meaning
    to enter custom display text.
    By default, Workday generates and uses the text in the
    Meaning
    section when displaying the description of the eligibility rule.
  9. Click
    OK
    and
    Done
    .
Workday displays the eligibility rule in the
Find Student Eligibility Rules
report.
You can use the course requirement eligibility rules for:
  • Academic requirements. Example: To satisfy the academic requirement, the student must complete 3 Math courses.
  • Academic requirements for restricted requirement groups, to define how units can be shared between requirements.
  • Course and course section definitions. Example: The student can only register for a higher-level course if they have completed the prerequisite lower-level courses.
  • Registration, to determine eligibility for registration appointments.
