Create Unit Requirement Eligibility Rules

Security:
  • Manage: Admissions Foundation
     domain in the Admissions functional area.
  • Set Up: Student Eligibility Rules
     domain in the Academic Advising functional area.
You can create student eligibility rules that identify students based on the number of units they have completed or in progress. You can define the eligibility criteria to consider:
  • The number and types of units.
  • How Workday uses the eligibility rule for academic and class standing.
  • The subset of courses based on specific courses or grades.
  1. Access the
    Create Student Eligibility Rule
     task.
  2. From the
    Eligibility Rule Type
     prompt, select
    Unit Requirement
    .
  3. Click
    OK
    .
  4. Complete the
    General
     section:
    Option Description
    Rule Name
    Enter a name to identify the eligibility rule.
    Academic Unit
    Select the academic unit where the eligibility rule can be used.
    Academic Level
    (Optional) Select the academic level where the eligibility rule applies.
  5. Complete the
    Rule Details
     section to specify the eligibility criteria for the rule:
    Option Description
    Qualifier
    Select whether to include units that are in progress.
    Units
    Enter the number of units to evaluate eligibility for.
    Unit Type
    Select the type of course units for the rule.
    For courses that use different unit types, Workday uses the institutional unit type conversion policy to convert to this unit type. See Set Up Institutional Unit Type Conversion Policies.
    In Residence
    Select to consider units from only internal coursework at your institution, and not transfer credits from external educational institutions.
  6. (Optional) In the
    If Used in Academic or Class Standing
     section, specify criteria for when using the eligibility rule on academic standing or class standing policies:
    • Operator
      : Whether to consider the number of units that are greater than, less than, or equal to the number of units on the rule.
    • Units for Academic or Class Standing
      : Whether to consider units from only the current academic period, or cumulatively including previous academic periods.
    • Which Units
      : Whether to consider the number of earned units, attempted units, or units used in GPA calculations.
    By default, Workday evaluates whether the student has units earned in the academic period greater than the number of units on the rule.
  7. (Optional) Specify additional eligibility criteria:
    Section
    Description
    From Courses
    Select the courses or smart lists to consider for the rule. Workday looks at the student’s units from these courses to determine eligibility.
    Workday doesn’t consider courses when evaluating the rule for academic standing or class standing.
    With Grade
    Specify the grade criteria to consider for the rule. Workday looks at units from courses with grades that meet the specified
    Operator
     and
    Grade
     values.
    Workday doesn’t consider grades when evaluating the rule for academic standing or class standing.
    Most Recently Attempted
    Enter the number of
    Units
     to consider for the rule. Workday looks at the units from courses the student is most recently enrolled in.
    Limits
    Specify the
    Maximum Units Allowed
     from specific courses or smart lists to count towards the eligibility rule.
    Example: For the eligibility rule, students must complete 120 units. Only 10 of those units can be from Distance Learning Program courses.
  8. (Optional) In the
    Custom Eligibility Rule Meaning
     section, select
    Use Custom Meaning
     to enter custom display text.
    By default, Workday generates and uses the text in the Meaning section when displaying the description of the eligibility rule.
  9. Click
    OK
     and
    Done
    .
Workday displays the eligibility rule in the
Find Student Eligibility Rules
 report.
You can use the unit requirement eligibility rules for:
  • Academic requirements. Example: To satisfy the academic requirement, the student must complete 30 units from Biology courses.
  • Academic requirements for restricted requirement groups, to define how units can be shared between requirements.
  • Course and course section definitions, for prerequisites and reserved capacity. Example: The student can only register for a higher-level course if they have completed 12 units from lower-level courses.
  • Registration, to determine eligibility for registration appointments.
  • Academic standing and class standing policies, to define the number of units to reach a certain standing.
  • Program completion application policies, to specify the number of units a student must complete to be eligible to apply for program completion.
