Create Grade Requirement Eligibility Rules

Security:
  • Manage: Admissions Foundation
    domain in the Admissions functional area.
  • Set Up: Student Eligibility Rules
    domain in the Academic Advising functional area.
You can create student eligibility rules that identify students based on the grades they achieve. You can define the eligibility criteria to look for the:
  • Grade point average (GPA) for an academic period, cumulatively, or for certain courses.
  • Number of grades that meet a certain criteria or are of specified grade category types.
When evaluating whether a student is eligible, Workday accounts for any GPA overrides applied for the student.
  1. Access the
    Create Student Eligibility Rule
    task.
  2. From the
    Eligibility Rule Type
    prompt, select
    Grade Requirement
    .
  3. Click
    OK
    .
  4. Complete the
    General
    section:
    Option Description
    Rule Name
    Enter a name to identify the eligibility rule.
    Academic Unit
    Select the academic unit where the eligibility rule can be used.
    Academic Level
    (Optional) Select the academic level where the eligibility rule applies.
  5. In the
    Rule Details
    section, specify the
    Qualifier
    and
    Operator
    for the rule.
    Workday displays additional prompts depending on the Qualifier you select:

    has academic period GPA
    Evaluates the student’s
    GPA
    from completed courses in the academic period.
    has cumulative GPA
    Evaluates the student’s overall
    GPA
    from completed courses in previous and current academic periods.
    has cumulative GPA with transfer
    Evaluates the
    GPA
    from completed courses in previous and current academic periods, including transfer credits from external educational institutions.
    has earned grades in academic period
    Evaluates the
    Number of Grades
    the student has that meet the
    Grade Operator
    and
    Grade
    criteria, based on the
    Grade Points
    value.
    has earned grades with grade category type in academic period
    Evaluates the
    Number of Grades
    that the student has of the specified
    Grade Category Types
    in the academic period.
    has grade average across courses
    Evaluates the
    GPA
    from the courses defined by the specified student eligibility rules or academic requirements.
    has program of study GPA
    Evaluates the
    GPA
    from completed courses for the student’s primary program of study.
  6. (Optional) In the
    Custom Eligibility Rule Meaning
    section, select
    Use Custom Meaning
    to enter custom display text.
    By default, Workday generates and uses the text in the
    Meaning
    section when displaying the description of the eligibility rule.
  7. Click
    OK
    and
    Done
    .
Workday displays the eligibility rule in the
Find Student Eligibility Rules
report.
You can use the grade requirement eligibility rules for:
  • Academic requirements. Example: To satisfy the academic requirement, the student must achieve a minimum GPA.
  • Course and course section definitions, to define prerequisite and corequisite courses. Example: The student must achieve a minimum grade on a prerequisite course to be able to register for the course section.
  • Registration, to determine eligibility for registration appointments.
  • Academic standing rules.
