Set Up Grade Point Average Policies

Set Up: Academic Policies
 domain in the Academic Foundation functional area.
You can set up effective-dated grade point average (GPA) policies that meet your institutional and program-specific requirements. GPA policies:
  • Apply to an academic unit and level or a program of study.
  • Determine how Workday calculates and displays student GPA.
When a student has multiple programs of study, Workday uses the GPA policy applicable to the student's primary program of study for all their programs.
When you don't set up a GPA policy, Workday displays these GPA types on the student's academic history for each academic period record:
  • Academic Period GPA.
  • Cumulative GPA, excluding and including transfer coursework.
  • Program of Study GPA for the primary program of study. Workday also displays the Program of Study GPA for each program of study on the student's academic progress.
  • For transfer credit from coursework, the Transfer GPA (By Period) and Cumulative Transfer GPA.
  1. Access the
    Configure Grade Point Averages Policy
     task.
  2. As you complete the task, consider:
    Option Description
    Effective Date
    Workday uses the policy that's effective on the
    Standard Start Date
     of the academic period to calculate GPA.
    Grade Points Decimal Places
    GPA Max Decimal Places
    Enter the number of decimal places that you want Workday to display for grade points and GPA on a student's academic history.
    Specify whether Workday rounds or truncates GPA values.
    When you don't set up a GPA policy, Workday displays the GPA rounded to 3 decimal places.
    Hide Earned Grade Points
    Select to hide the
    Earned Grade Points
     column on the
    Enrollments
     grid on the
    Academic History
     report on the Academics profile group of the student profile.
  3. As you complete the
    Include in POS GPA Calculation
     section, consider:
    Option Description
    All Bundled Additional Programs in POS GPA
    Select to include all the programs you bundle with another program in the Program of Study GPA (POS GPA) calculation.
    Example: A student has Finance Minor bundled with their Economics Major program. You can include the registrations that satisfy the academic requirements of Finance along with Economics in the student's POS GPA. Otherwise, Workday calculates the POS GPA based on only the registrations that satisfy the Economics requirements.
    Inherited Academic Requirements for the POS GPA
    Select to include academic requirements configured to the academic unit level in the POS GPA calculation. When unchecked, Workday only evaluates the academic requirements configured at the program of study level to calculate the POS GPA.
    Example: You configure General Education academic requirements for the undergraduate level in the College of Engineering. An undergraduate Computer Science student inherits these requirements because the Computer Science Department is subordinate to the College of Engineering. To include the General Education requirements in the POS GPA calculation for the Computer Science student, select this check box.
    Only Successful Course Attempts in POS GPA
    Select to exclude failed course attempts from the POS GPA calculation. When unchecked, Workday includes these registrations when calculating the Cumulative GPA and POS GPA.
    Program Focus in Parent POS GPA
    Select to include the program focus in the POS GPA calculation of the parent program.
    Example: A student in a Public Policy program of study has an Educational Policy specialization. You can either include or exclude the Educational Policy courses in the student's POS GPA calculation for Public Policy.
  4. As you complete the grids in the
    For Primary POS GPA Policy
     section, consider:
    Option Description
    GPA Type
    Configure 1 or more GPA types based on your institutional requirements.
    Label
    Enter custom labels for how you want Workday to display the
    GPA Type
    .
    Example: You might want to display:
    • Academic Period GPA as
      Semester GPA
      .
    • Program of Study GPA as
      Major GPA
      .
    Display on History
    Select the check box to display the
    GPA Type
     on the
    Academic History
     report on the Academics profile group of the student profile.
    When you select the check box for
    Program of Study GPA
    , Workday displays the:
    • Primary Program of Study GPA on the academic history. This field displays the POS GPA for the primary program of study.
    • Program of Study GPA on the
      Academic Progress
       report on the Academics profile group of the student profile.
    Course Smart List to Exclude
    Examples:
    • You want to exclude 100-level courses from the Cumulative GPA.
    • You require Economics Major students to complete a set of Calculus courses to complete the major. However, you want to exclude these courses from the student's POS GPA.
    Custom GPA Name
    You can configure 3 custom GPAs to meet your institutional requirements.
    Workday doesn't display these GPAs but you can use them in custom reports.
    Course Smart List
    Workday uses only the courses in the smart list to calculate the custom GPA you're configuring.
    Example: You want
    Custom GPA 1
     to calculate an Honors GPA. Create a course smart list that includes courses with an Honors course tag. Select the smart list for
    Custom GPA 1
    .

When you change the policy for which registrations Workday includes in the POS GPA calculation, access the
Launch Academic Progress Evaluation
 task to apply the updated policy to existing student GPAs. See Evaluate Academic Progress.
