Example Steps: Configure Academic Requirements Using Grade Averages for Minimum Courses

Illustrates 1 way to configure grade averages requirements with nested course minimums for academic requirements.
You're an advising administrator of Alma Mater University Undergraduate Studies. The Mathematics program of study at Alma Mater University requires students to complete a minimum of 4 elective math courses with a C average. Based on your Student Grading Scheme, C is a 2.0 GPA.
You need to configure a rule to use in academic requirements that supports both:
  • A grade average of 2.0 across specific courses or units (with courses defined).
  • A course or smart list of the math electives with a minimum number of 4 courses.
To meet this requirement, you first create a course requirement rule for a minimum number of courses. You then create a grade average rule to evaluate the grade average across courses. Within this grade average rule, you specify the course minimum rule that you created earlier. You can then use this rule to create or edit an academic requirement and configure it to the program of study.

  1. Configure a grade requirement rule for grade averages that uses a course minimum rule.
    Configure a course minimum rule with a course list or smart list of Math electives. Set

    as the minimum number of courses to complete.
    Configure a grade average of
    2.0
    across the minimum course requirement for Math electives. Specify the course minimum rule in the
    Student Eligibility Rule
    prompt.
  2. Create an academic requirement.
    Create an academic requirement for the Math Electives.
    • Access the
      Create Academic Requirement
      task.
    • For
      Eligibility Rule
      , select the grade average rule with the nested course minimum rule that you created. Example: Select
      2.0 Average for Mathematics Electives With Minimum Course Count
      .
  3. Configure the academic requirement to the academic unit and level or the program of study.
    Configure the requirement to the program of study
    Mathematics Major
    .
    Access the
    Configure Academic Requirements
    task:
    • Click the
      Academics Requirements
      tab.
    • Add a row and select the grade average requirement you just created. Example:
      Mathematics Electives With 2.0 Average
      .
For the
Mathematics Major
program of study, you've configured a requirement with:
  • A grade average rule for GPA of 2.0 or more across courses at completion, and
  • A nested course requirement for completion of a minimum of 4 courses.
Verify the program requirement on a student's
Academic Progress
report:
  • Select a student who is active in the Mathematics Major program of study with a
    Requirements Effective Date
    that is on or after the effective date of the academic requirement configured for the program of study.
  • Access the
    Academic Progress
    report on the Academics profile group.
  • From the
    Advising
    related actions on the student profile, select
    Launch Academic Progress Evaluation
    .
Workday adds the grade requirement to the student's academic requirements. The grade requirement shares the subset of registrations that you configured for the rule with the Math Electives academic requirement.
