Steps: Set Up Contract Lifecycle Management Workflows

  • Enable access to Workflow Builder.
  • You need administrator access or have a custom role with the Workflow Builder: Manage permission.
With Contract Lifecycle Management (CLM) you can configure contract workflows with conditions that activate defined events. In CLM, you can use Workflow Builder to define and automate each stage in the lifecycle for a contract, from intake to finalization.
  1. In the Workflow creation form, select the
    Workday Source to Pay
    toggle and select:
    • Procurement
      to pass the contract to Procurement as a supplier contract.
    • Workday Strategic Sourcing
      to create supplier contracts that are not passed to Procurement.
  2. Select document type allowances.
    Indicate if workflow users can upload existing documents, generate them from templates, or both. See Concept: Document Type Allowances.
  3. Map template fields to intake form questions.
    Use the
    Form
    tab to link placeholders in your .docx template to specific user responses. Configure any conditional fields, clauses, or requirements based on submissions. See Concept: Forms in Workflows.
  4. Define post-signature tasks such as verifying the documents.
  5. Configure workflow settings.
    Set the archive destination, file naming conventions, and user access permissions on the
    Settings
    tab. See Concept: Workflow Settings.
    Select a
    Contract Type
    to determine which procurement contract type Workday creates when the CLM ticket is finalized.
  6. Publish the workflow.
