Set Up Reviews in Workflows

Enable access to workflows.
Upload document templates to workflows.
Identify users, groups, or departments as reviewers.
You can specify who reviews a document, when the review applies, and how the workflow proceeds based on the outcome in Workflow Builder. Each phase includes a coordinator and 1 or more reviewers, and you can set optional conditions to apply to the review when needed.
You can assign individual users, groups, or departments as reviewers. The coordinator manages the review process and ensures the document is reviewed and processed in a timely manner.
  1. Click

  2. On the
    Workflow Builder
    tab, select a workflow.
  3. Click
    Review
    .
  4. From the
    Review Coordinator
    prompt, select
    Ticket Submitter
    or a user.
  5. Click
    Add Review Phase
    .
  6. Enter a name and a description.
  7. Click
    Add Review
    .
  8. Select
    Specify Condition
    .
  9. Select a condition and the logic.
  10. From the
    Reviewers
    prompt, select users, groups, or departments.
    When assigning a group, you can enter the number of reviewers required to complete the review.
  11. Click
    Save
    .
When a review phase is active, we send an email notification to assigned reviewers with the document and three available actions:
  • Approve:
    Confirms the update and allows the workflow to continue.
  • Reject:
    Declines the update and halts progression.
  • View Ticket:
    Opens the workflow item for more detail.
After a reviewer selects an action, we display a confirmation page in a new tab.
When you select a group as a reviewer, Contract Management and Document Intelligence randomly selects 1 reviewer. That reviewer must complete the task before the workflow can proceed.
