Steps: Set Up Student Grading

You can set up grading to enable you and instructors to grade students based on your institutional practices. You can configure the:
  • Grade elements: All possible grades that you can assign to students.
  • Grading scheme: The collection of grade elements grouped according to your:
    • Institutional policy.
    • Behavior of each grade in depicting the academic record of a student.
  1. (Optional) Access the
    Maintain Grading Basis Values
     task.
    Define and create custom grading basis values, according to the policies and naming conventions of your institution.
    Security:
    Set Up: Academic Policies
     domain in the Academic Foundation functional area.
  4. Edit Domain Security Policies.
    Configure security policies for these domains in the Student Records functional area, to grant appropriate access to these tasks:

    Academics for Third Party

    View Student Grades as Third Party

  5. (Optional) Create a grid configuration to display changes on your interim and final grade rosters.
  6. (Optional) Configure these date controls on the
    Maintain Academic Period Date Controls
     task for your academic unit and level:
    Date Control
    Description
    Final Grading Start
    The date when instructors can start entering final grades for their course sections.
    Final Grading End
    The date when instructors can no longer assign or change grades.
    Final Grade Publication
    The date when Workday publishes final grades for students.
    You can configure different dates for course sections on these tasks:
    • Maintain Dynamic Course Section Date Controls
    • Override Course Section Date Controls
    Workday publishes pending grades as final at 12 am Pacific Time on the
    Final Grade Publication
     date, even if you specify an override time on the date control or a default time zone on the
    Edit Tenant Setup - System
     task. Example: Users in the Eastern Time Zone will see grades published at 3 am Eastern Time on the
    Final Grade Publication
     date.
    Faculty Grade Change Deadline
    The date when instructors can no longer change grades using the:
    • Change grade for Student
       task.
    • Change Grade
      check box on the
      Assign Student Grades for Course Section
       task.
    Administrators can change grades at any time by using the
    Assign Student Grades
     task.
    When you don't set this date, instructors can change grades at any time, as long as other conditions are true. Example: The instructor has posted the final grade, there isn't a grading event in progress, and the Academic Record is active.
    Workday processes this date control on both standard and nonstandard academic periods.
  7. (Optional) Set up access for third parties, such as parents, to view student grades. Third parties can only view grades for the institutions that students give access to.
  8. Configure these business processes:
    • Mass Lapse Student Grade Event
    • Student Course Registration Change Grade Event
    • Student Course Section Grade Event
    • Student Grade Update Event
  9. Set up business processes to send custom notifications to students when users assign or change grades.
You can use the:
  • Grading schemes when you set up enrollment access and grading policies.
  • Manage Permissions for Third Party
     task to grant access to parents and other designated proxies to view student grades.
Students can use the:
  • Manage Permissions for My Third Party
     task to grant access to parents and other designated proxies to view their grades.
  • View My Grades
     report to view their grades. When a course title changes, Workday displays the course title that was effective when the student took the course.
When you set up third-party access, students' parents and other designated proxies can use the
View Student Grades as Third Party
 report to view the student's grades.
