Create Custom Notifications for Grade Events

  • Configure notification delivery settings for business processes that enable Workday to deliver emails immediately. See Steps: Set Up Workday Notifications.
  • Security: These domains in the System functional area:
    • Business Process Administration
    • Manage: Business Process Definitions
  • Configure these business processes:
    • Mass Lapse Student Grade Event
    • Student Course Registration Change Grade Event
    • Student Course Section Grade Event
    • Student Grade Update Event
You can configure business processes to send custom notifications to students when users assign or change grades using these tasks:
Use Case
Task
Business Process
Assign grades for 1 student.
Assign Student Grades
Student Grade Update Event
Assign grades to all students in a course section.
Assign Student Grades for Student Course Section
Student Course Section Grade Event
Change grades for 1 student or all students in a course section.
Change Grade for Student
Assign Student Grades for Student Course Section
Student Course Registration Change Grade Event
Change grades for students with an incomplete grade to a lapsed grade.

  1. From the related actions menu of 1 of these business processes, select
    Business Process
    Add Notification
    :
    • Mass Lapse Student Grade Events
    • Student Course Registration Change Grade Event
    • Student Course Section Grade Event
    • Student Grade Update Event
  2. As you complete the task, consider:
    Option Description
    Triggers
    Click
    Trigger on Status
     and select
    Completed
     from the prompt.
    Conditions and Rules
    (Optional) Specify conditions for when to send grade event notifications for these business processes:
    • Student Course Registration Change Grade Event
    • Student Grade Update Event
    Example: You can configure notifications to send only when you publish a final grade for a student. Create a
    True/False
     condition rule using the
    Is Final Grade
     report field on the Grade Event Reportable business object.
    Repeat On
    From the
    Related Instances
     prompt, specify the grade events for which to send notifications.

    Grade Event Reportables for Mass Lapse
     report field on the Mass Lapse Student Grades Event business object.
    (
    Student Course Section Grade Event
     business process) Select the
    Grade Event Reportables for Student Course Section
     report field on the Student Course Section Grade Event business object.
    Adding the
    Grade Event Reportables for Mass Lapse
     and
    Grade Event Reportables for Student Course Section
     report fields to the
    Related Instances
     prompt allows you to use the
    Repeat On Condition and Rules
     section where you can add condition rules to ensure notifications will properly be sent to each student.
    For these business processes, leave the field blank to send notifications for only the current grade event:
    • Student Course Registration Change Grade Event
    • Student Grade Update Event
    Recipients
    From the
    Recipients
     prompt, select the
    Student Related to Grading Event
     report field on the Grade Event Reportable business object.
    From the
    Groups
     prompt, select
    Student as Self
    .
