Set Up Enrollment Access and Grading Policies

Set Up: Academic Policies
 domain in the Academic Foundation functional area.
You can configure enrollment access and grading policies for students from a specific academic unit and level configuration, or program of study. The policies determine:
  • The courses that those students can register for.
  • The grades that they can earn upon completion of those courses.
Example: You configure all undergraduate courses at Alma Mater University to use the
Standard
 grading scheme, which includes grading elements from
A
 to
F
,
Pass
, and
Fail
. You also add a row to specify that BIOL 350 can only use the
Performance
 grading scheme, which includes these grading elements:
Excellent
,
Satisfactory
, and
Unsatisfactory
. When students complete BIOL 350, they'll receive grades from the
Performance
 grading scheme even though it's an undergraduate course at Alma Mater University.
  1. Access the
    Maintain Enrollment Access and Grading Policy
     task.
    As you complete the task, consider:
    Option Description
    Choose What to Configure
    Select the academic unit and level, or program of study that you want to configure an enrollment access and grading policy for. The policy will apply to students within the selected configuration.
    Choose a Definition
    Specify a policy definition to configure for the selected academic unit and level, or program of study. You can:
    • Edit an existing policy definition by selecting one from the
      Existing
       prompt.
    • Create a new policy definition by entering when you want the policy definition to take effect in the
      As of Effective Date
       prompt.
    Order
    Specify the order in which Workday processes the policy when there are multiple rows. Workday processes the policy from top down, so we recommend that you order them from most to least specific.
    Example: In the first row, you configure all undergraduate Chemistry courses at Alma Mater University to use the
    Pass/Fail
     grading scheme. In the second row, you configure all other undergraduate courses to use the
    Standard
     grading scheme.
    Courses
    Select the courses that you want to specify a grading scheme and grading basis options for.
    When you use this policy to grant students access to courses, students still must meet the eligibility rules required for the course.
    Academic Unit Configuration
    Select an academic unit and level that you want to specify a grading scheme and grading basis options for. Your configurations apply to all courses within the selected academic unit and level.
    Include Courses at Subordinate Academic Units
    Select if you want to include courses from subordinate academic units.
    Example: When selected, the policy for Alma Mater University also applies to College of Engineering and School of Education.
    Grading Scheme
    Specify the grading schemes that apply to the:
    • Courses
       that you select.
    • All courses within the selected
      Academic Unit Configuration
      .
    After you configure the
    Allowed Grading Bases
     for those courses, Workday displays grading elements based on the specified grading scheme. Example: You configure all undergraduate courses at Alma Mater University to use the
    Standard
     grading scheme, which includes grading elements from
    A
     to
    F
    ,
    Pass
    , and
    Fail
    . You also configure BIOL 399 to allow the
    Pass/Fail
     grading basis only. When students complete BIOL 399, they can only receive a grade of
    Pass
     or
    Fail
    .
    Grading Basis Selection Options
    Specify how grading bases should display when you have courses that allow multiple grading bases. You can specify the grading bases that:
    • Workday displays by default during course registrations. Students can still select the other allowed grading bases.
    • Students can request only. They can't select these grading bases during course registration.
    Example: You set the
    Grading
     grading basis as the default for Alma Mater University, and
    Audit
     as request only. You also configure BIOL 101 to allow these grading bases:
    Grading
    ,
    Audit
    , and
    Credit/Non Credit
    . When students register for BIOL 101, Workday automatically populates the
    Grading Basis
     prompt with
    Grading
    , but students can select
    Credit/Non Credit
     from that prompt. After registration, students can request
    Audit
     as the grading basis instead.

For request-only grading bases, students can request them when they select
Edit Registration
 on the
Current Classes
 report on the Academics profile group of their student profile.
