Steps: Set Up Third-Party Access
You can add a third party to manage a student account. Example: You can enable a parent to make a payment or view a financial aid package on behalf of a student. You can also link an existing worker account to a third-party account.
Students can also create and manage this third party from self-service.
We provide
Print Student Statement as Third Party
(secured to the Self-Service: Student Proxy Finances
domain in the Student Financials functional area) on mobile. Third parties can access this mobile report to print student statements.- Configure theThird Party Permissions Eventbusiness process and security policy in the Student Core functional area.
- (Optional) Edit Business Processes.Editing theThird Party Permissions Eventbusiness process enables you to change the workflow for setting up third-party access.
- (Optional)Set Up Multiple Students for Third Parties.You can enable a third party to manage multiple students in an institution. You can also link a new third-party account with an existing account if their email addresses match.
- Access theConfigure Privacy Release Authorization Waivertask.Edit the description and confirmation text for your institution.Security:Set Up: Student Privacy Waiver Textdomain in the Student Core functional area.
- Access theAdd Friends and Familytask.From the Personal profile group on student profiles, click theAddbutton on theFriends and Familyreport.
- Relationship Types: If this field is blank, Workday usesProxyas the default value when you use web services to import Friends and Family.
- Is Third Party User? Select this check box if you want this contact to perform functions in Workday on behalf of a student.
- Contact Information: We send an email to the third party with information to access Workday after the business process runs.
Security:Student Data: Friends and Familydomain in the Student Core functional area. - Enable or disable the security policies for these domains according to the list of tasks you want available for selection on theManage Permissions for Third Partytask:

You can configure approvals on the business processes enabling students and other approvers review third-party permissions. - (Optional) Configure theAcademics for Third Partydashboard for the Home page of third-party users.
You can:
- View third-party access information fromFriends and Familyprofile group. ClickPermissionsto view the third-party users and the tasks enabled for them.
- You can now identify third-party users who have more than 1 role in Workday. Use theHas Multiple Rolesreport field on theStudent Proxybusiness object (secured to theStudent Data: Friends and Familydomain in the Student Core functional area).
Third-parties can:
- Sign in to their accounts and manage the enabled tasks on behalf of the student.
- Use theLink Existing Workday Accounttask (secured to theSelf Service: Student Proxydomain in the Student Core functional area) to link to their existing worker account in the institution, if applicable.
- View only the student's legal name across all identified tasks within Friends and Family, regardless of internal preferred name settings. However, if a person holds dual roles as both a Worker and a Proxy, the preferred name may appear when the person is operating within Workday as a Worker.
