Create Admissions Counselors
- Set up student recruiting and admissions. See Steps: Set Up Student Recruiting and Steps: Set Up Admissions.
- Configure theAdmissions Counselor Assignment Eventbusiness process and security policy in the Student Recruiting functional area.
- Security:Manage: Admissions Counselordomain and theManage: Admissions Counselor Personal Informationdomain in the Student Recruiting functional area.
You can designate anyone who recruits prospective students or reviews applicants as an admissions counselor. This includes admissions officers, faculty members, volunteer alumni, and non-employees. Also, you can create guest admissions counselors with temporary access for whatever duration that you choose.
- Access theCreate Admissions Counselortask.
- Select either:
- Create New Person, if the person doesn’t already have a Workday account.
- Use Existing Worker, to enter a worker that’s already in the Workday system.
- In theTypefield, select either:
- Staff, for new or existing staff members.
- Guest, to grant temporary access. You must enter aStart DateandEnd Dateto identify when the admissions counselor is active. You can assign the admissions counselor to campaigns and events that end before or on the end date.
- Select theAcademic Unitthey have permissions to see.
- If you’re creating a new person to add to Workday, enter their name and contact information.
Workday:
- Assigns the admissions counselor to theAll Admissions CounselorsandAdmissions Counselor as Selfsecurity groups.
- Makes the admissions counselor profile available through theFind Admissions Counselorreport. (Your security policies control access to the tabs on the profiles.)
Admissions counselors can view their own profiles, with their events, campaigns, prospects, and application pools through the desktop application. A limited version with name and contact information is available through a mobile device.
After you create admissions counselors, you can define criteria for assigning them to prospects and assign counselors to application pools. See Assign Admissions Counselors to Prospects and Manage Application Pools.
The Security Administrator:
- Creates a Workday account for new admissions counselors that aren't in the system.
- (Optional) Sets theAccount Expiration Datefor guest admissions counselors to the end date that you selected to ensure that Workday closes the account on that date.
- Assigns the admissions counselor (or a position restriction) a role, such as student recruiter or admissions reviewer, on an academic unit.Workday recommends assigning:
- Guest admissions counselors directly to a guest role on the academic unit. For example, assign a guest recruiter role on Alma Mater College to Randy Flores.
- Roles you create for staff admissions counselors to position restrictions. Example: Assign a student recruiter role on Alma Mater College to the Student Recruiter_AMC position restriction. When workers move in and out of the position, the academic unit assignment stays with it.
