Manage Application Pools

Application pools enable you to distribute applications for review based on eligibility criteria, such as the applicant's last name or program of study. When you create an application grouping, Workday automatically creates a default application pool and assigns it to the grouping owner. You can create additional pools, change counselor assignments, and update eligibility rules to balance reviewer workload.
  1. Access the
    View Application Grouping
    task.
  2. Click
    Maintain Application Pools
    .
  3. As you complete the task, consider:
    Option Description
    Eligibility Rule
    Workday assigns each application to a pool based on the first eligibility rule that it meets.
    Example: Applications in the California region route to Pool 1 and last names beginning with A - L route to Pool 2. Workday assigns Ricardo Lee from California to Pool 1.
    For best performance, list rules from most to least restrictive.
    Applications that don't meet the criteria for any pools stay in the default pool.
    Admissions Counselor
    Admissions counselors other than those you assign to the pool can review applications in the pool.
As you create applications, Workday:
  • Assigns them to application pools based on your eligibility rules. An application can belong to only 1 grouping and 1 pool.
  • Displays an admissions counselor's pool assignments on the worklet on their profile, if configured, so they know which applications they're responsible for.
Applications can move between pools when you:
  • Add or remove eligibility rules for application pools.
  • Update information on applications, causing Workday to reevaluate eligibility for pools.
When you delete an application pool, Workday automatically reassigns applications to the default application pool for the application grouping until it reevaluates pool assignments.
