Assign Admissions Counselors to Prospects

  • Create admissions counselors and assign them to academic units.
  • To use region as a criterion for assigning prospects, create student recruiting regions.
  • Configure the
    Admissions Counselor Event
     business process and security policy in the Student Recruiting functional area.
  • Configure the
    Manage: Admissions Counselor
     domain in the Student Recruiting functional area.
You can define or update criteria for automatically assigning admissions counselors to recruitment records for student prospects. When you add or edit recruitment details for a prospect, Workday assigns a region before it assigns an admissions counselor.
You can define more than 1 set of criteria for an admissions counselor. Each set is specific to a recruitment academic unit.
To manually assign a prospect's recruitment to an admissions counselor, update the Recruitment profile group on the prospect's profile.
Workday uses application pools to assign admissions counselors to applications for admission.
  1. From the related actions menu of the admissions counselor, select
    Admissions Counselor
    Manage Prospect Assignment Criteria
    .
  2. As you define criteria for matching prospects to admissions counselors, consider:
    Field
    Description
    Academic Unit
    Select the recruitment academic unit for the admissions counselor. The prompt includes all academic units that you have access to.
    Academic Level
    Select the academic levels of the recruitments to assign to the admissions counselor. The prompt includes all academic levels for the selected academic unit. Select levels that are configured for recruiting academic units.
    Recruiting Regions
    Select the regions for the recruitments to assign to the admissions counselor. The prompt includes all student recruiting regions.
    Preferred Location
    Select the preferred location of the recruitments to assign to the admissions counselor.
    When a campus assignment policy is in effect for the academic unit and academic level, the prompt displays locations that respect the policy. To select a location that is unrelated to the policy, type in the location and search for it.
    When a campus assignment policy isn't in effect, the prompt displays all locations with a usage of Campus.
Workday automatically assigns the admissions counselor to prospects who meet the criteria. Prospects who don't match the criteria for any admissions counselor remain unassigned.
John is an admissions counselor for Alma Mater University. Enter these values to assign him recruitments for undergraduate transfer students for the main campus with a specific extracurricular activity as well as all undergraduate returning adult students.

To change the admissions counselor assigned to a prospect, access the
Recruitment
 report on the Recruitment profile group on the prospect's profile and click
Actions
.
You can remove automatically assigned admissions counselors by selecting the admissions counselor in the
Exclude from System Assignment
 field in the
Admissions Counselors
 grid. Workday won't assign the admissions counselor to the recruitment record again.
