Concept: Financial Aid Load Statuses

A student's load status describes their course load for an academic period and affects financial aid eligibility. Workday uses projected load statuses before the
Actual Enrollment Usage Start
date (AEUSD), enabling you to calculate and package financial aid for future academic periods. After a student's AEUSD, Workday uses 1 of these actual load statuses:
  • Academic Period (All)
  • Academic Period (POS)
  • Academic Period Pell (POS)
  • Course Start (All)
  • Course Start (POS)
  • Course Start Pell (POS)
  • Verified Participation (All)
  • Verified Participation (POS)
  • Verified Participation Pell (POS)
You can view a student's load statuses on the
Load Status
tab of the
Attendance Plan
report on the Financial Aid profile group of the student profile. To view how Workday calculates each load status, select
Financial Aid Period Record
View Courses for Load Status
from the related actions menu of an academic period on the attendance plan.

Projected Load Statuses

Workday uses projected load statuses to process financial aid calculations for future academic periods. To determine the projected load status, Workday evaluates the typically enrolled units of the relevant academic period type on a typical attendance pattern against the load status policy. Workday uses the attendance pattern and load status policy that are effective for a student's program of study as of the standard start date of the academic period.
For a less attended academic period like summer, Workday assigns a projected unit value based on your configuration on the
Create Typical Attendance Pattern
task. Workday then updates projected load statuses based on that unit value. For students who don't register for less attended academic periods, Workday displays a projected load status of
Not enrolled
.

Actual Load Statuses

After the AEUSD of an academic period, Workday uses actual load statuses in financial aid processing. To calculate the actual load status, Workday evaluates the total units for a student's courses against the load status policy that's effective for the student's primary program of study as of the standard start date of the academic period. When the student has multiple academic records, Workday uses the load status policy of the primary program of study on the student's reporting record.
The actual load statuses describe the different sets of courses that Workday includes. Workday provides these main types of actual load statuses:
  • Academic Period
    : Includes units for courses for which the student has registered for the academic period.
  • Course Start
    : Includes units for courses that have started at the time of the calculation.
  • Verified Participation
    : Includes units for courses for which the student has verified participation at the time of the calculation.
Workday also organizes actual load statuses into these subtypes:

Example: The

is 2024-09-01. Workday uses the later date to determine what courses count toward the
Pell (POS)
load status.
Audit courses
The
First Time Awarded Pell for Actual Enrollment Date
field populates only when a student receives a Pell Grant for the first time after their AEUSD.

Program of Study (POS) Load Statuses

A POS load status includes units for courses that satisfy academic requirements for the student's programs of study, including courses that the student has withdrawn from or completed.
POS load statuses also include units for courses that:
  • Satisfy developmental units, have a
    Withdrawn
    or
    Complete
    status, and don't exceed the developmental unit maximum defined on the federal student aid program policy for the student's primary program of study.
  • Repeat, or are equivalent to, a previous attempt that already satisfied an academic requirement.
    When the student aid program policy for the program of study limits the number of attempts that count toward financial aid, a student who receives a passing grade can make only 1 more attempt that counts toward the load status. Workday doesn't count withdrawals from repeated attempts toward the load limit.

Withdrawn Courses

When a student unregisters for a course after the
Drop Without Record End
date, Workday considers it as a withdrawal instead of a drop. When a student withdraws from a course that previously counted toward a load status, Workday creates a withdrawal deficit for the student. Any courses that the student adds after the withdrawal must offset the withdrawal deficit before Workday counts the courses toward the load status for the academic period.
Example: A student withdraws from a course worth 5 units, creating a withdrawal deficit of -5 units. When the student adds a course worth 6 units, the student has a net gain of 1 unit that counts toward the load status.
Workday creates withdrawal deficits only for courses that were satisfying academic requirements. Only courses that satisfy academic requirements for programs of study counting toward the student's load status can fill withdrawal deficits.
When a student withdraws from a developmental course, Workday creates a withdrawal deficit for the units up to the maximum developmental units defined for the federal student aid policy of the student's primary program of study.
Example: Abigail's program of study has a maximum of 10 developmental units, and she's already completed 8 developmental units. When she registers for 5 more developmental units, Workday counts only 2 units toward her POS load status. When she withdraws from that course, Workday creates a withdrawal deficit of -2 units.
When a student has withdrawal deficits for both developmental and nondevelopmental courses, Workday always fills withdrawal deficits from developmental courses first. This minimizes the number of developmental units that count toward financial aid.
