Set Up Load Status Policies

You can set up rules to define how Workday determines a student’s load status for:
You can configure load status policies to apply to:
  • An academic unit and level. The policy applies to all programs of study in the academic unit and subordinate academic units.
  • A specific program of study.
For National Student Clearinghouse (NSC) enrollment reporting, Workday uses the load status policy to calculate enrollment status, based on the configurations in the NSC Enrollment Reporting Outbound integration. See Reference: NSC Enrollment Reporting Outbound Connector.
  1. Access the
    Create Load Status Rule Set
    task.
    Complete the task:
    Option Description
    Include Audit Grading Basis
    Select to count audited courses in the institution load status calculation.
    Workday doesn't count audited courses in financial aid load statuses.
    Institution Load Status Rules
    Specify the minimum number of units required for each institution load status.
    For more accurate financial aid attendance plans, configure a minimum value of zero for the
    Not enrolled
    load status.
    Workday looks for the rule that applies based on the number of units the student is registered in for the academic period. The order of the rules has no impact on processing.

    When you configure the institution load status to show on the
    Current Classes

    report, enter a custom name to display. The default value is

    Select to display the load status on the

    report on the Academics profile group of the student profile.

    report on the Academics profile group of the student profile.
    Financial Aid Load Status Rules
    Specify the minimum number of units required for each financial aid load status.
    For more accurate financial aid attendance plans, configure a minimum value of zero for the
    Not enrolled
    load status.
    Workday looks for the rule that applies based on the number of units the student is registered in for the academic period. The order of the rules has no impact on processing.

    When you configure the financial aid load status to show on the
    Current Classes
    or
    Academic History
    report, enter a custom name to display. Example:

    Override Academic Period Type
    Select to configure different load status rule sets for specific academic period types.
    Example: You want to configure a lower load status for Summer academic periods.
  2. Access the
    Maintain Load Status Policy
    task.
    Assign a load status rule set to an academic unit and level or a program of study.
Workday calculates load status based on the effective load status policy that applies for the student’s primary program of study.
When configured, Workday displays load status on the
Current Classes
and
Academic History
reports on the Academics profile group of the student profile.
