Create Programs of Study
- Configure theProgram of Study Eventbusiness process and security policy in the Academic Foundation functional area.
You can define the programs of study that a level of an academic unit can offer. Examples:
- Accounting Major
- Art Minor
- Clinical Psychology Program
- Access theCreate Program of Studytask.

Option Description Effective DateSelect the date that you create the program of study in Workday or make changes to it. This date doesn't control when students can enroll in the program. Select a date that's on or before theFirst Entry Datefor the program.Owning Academic UnitSelect the academic unit that can own the program of study or have requirements that students in this program must meet. This configuration is useful when the owning and coordinating academic units are different for the program of study. You can route the business processes to the approver associated with the owning, coordinating, or both academic units of the target program of study.Example: The College of Business and Economics own Accounting and Economics. Subordinate academic units, such as the Accounting Department and Economics Department, coordinate the respective programs of study. When a student changes their program of study from Accounting to Economics, you can route the approval to the Economics Department.CIP CodeSelect the Classification of Instructional Program (CIP) code, a U.S. requirement.Workday uses this value for enrollment reporting to the National Student Clearinghouse (NSC). We recommend that you maintain programs of study with the latest CIP Code Edition, to reduce errors in the data you send to the NSC.Exclude Program of Study from National Student Clearinghouse ReportingSelect to exclude this program of study from reports to the NSC.Exclude Students in Program of Study from National Student Clearinghouse ReportingSelect to exclude students in this program of study from reports to the NSC.For students with multiple programs of study, Workday excludes students that have at least 1 program of study with this option selected.Educational Taxonomy CodesSelect a classification code other than a CIP code, such as a state or local code, that you create with theCreate Educational Taxonomy Schemetask.Institution CodeEnter a unique alphanumeric code that can display in reports. You can enter any codes you use for your programs.Program AreaTo group this program with similar programs, select a program area that you created on theMaintain Program Areastask.Allowed Applicant TypesTo restrict the program offering to specific applicant types, select the applicant types that are eligible for the program. Restricting applicant types makes it easier for applicants to identify the programs of study that they're eligible for and reduces applications from ineligible applicants. To enable the program offering for any applicant type, leave the field empty.Program Focus RequiredSelect to require students to select a program focus.Displays only if the program type is configured to have a program focus on theMaintain Program of Study Typestask.Grant Single CredentialSelect to confer only a single credential when students complete the program of study requirements.When selected, you can configure a single default credential and multiple other available credentials.When multiple credentials are available for a program of study and you use the:- Manage Program Completionreport to confer program completions, Workday confers only the default credential.
- Complete Programs for Studenttask, you can select the credential to confer.
This check box displays when the program of study type can grant credentials.Default CredentialsSelect the credentials to confer when students complete the program of study requirements.When you use:- TheManage Program Completionreport to confer completions, Workday confers all default credentials.
- TheComplete Programs for Studenttask, the default credentials automatically populate on the task. You can then change the credentials to confer to the student.
This prompt displays when the program of study type can grant credentials.You can configure whether programs of study can grant a single credential and also specify the default and additional credentials available to confer on students when they complete programs of study.Other Available CredentialsSelect credentials that are available to confer instead of or in addition to the default credentials when you use theComplete Programs for Studenttask. These credentials are not available when you use theManage Program Completionreport to confer completions.This prompt displays when the program of study type can grant credentials.Requires DeclarationSelect to require students to declare this program of study. The check box only displays for Formalized Joint Programs or Official Programs.You can optionally specify eligibility rules that students must meet to declare the program, on theStudent Declaration Eligibility Rulesprompt.Programs Available for AddingDisplays when theProgram Typebelongs to any of these categories:- Formalized Joint Program

Configure the programs that students can take with each other. Students must complete these addable programs along with their primary program of study, unless you also configure them as stackable.Students can complete stackable programs independently within the same academic record.First Entry DateEnter the earliest date students can matriculate into the program.Last Entry DateEnter the last date students can matriculate into the program if you’re discontinuing it. This date doesn’t affect students currently enrolled in the program.Admission Response Not RequiredWhen selected, Workday automatically progresses applicants to the Pre-Matriculant stage without an admission response and initiates theStudent Application Pre-Matriculation Eventbusiness process.This option is enabled for Fast Path applications.Fast Path EnabledWhen selected, applications for this program of study are subject to an open access (Fast Path) admissions process that automatically admits applicants.Evaluate Academic Requirements Prior to Program ChangeSelect to enable the program for student exploration.Advisors and students can explore potential scenarios to evaluate how a student's academic record or educational history can satisfy the academic requirements for a different program of study. See Evaluate Academic Requirements.Program Minimum CourseworkEnter the minimum number of units or clock hours required in this program. Workday uses this value for these areas in financial aid:- Pell Grant calculations.
- Satisfactory academic progress (SAP) evaluations.
You can override the default value for a stand-alone program of study. Use the same unit type specified on the policy forAcademic Year Minimum Coursework.Program DurationEnter the length of the program as a number of weeks, months, or years.When left blank, Workday adds 4 years to the start date.Workday uses this value to determine theExpected Completiondate of the program of study. When you set the duration in years, Workday uses the:- End date for program duration.
- Typical attendance pattern you configured on the calendar policy as of the start date of the program of study record.
Workday derives the expected completion date based on the last academic period before the end date.Workday generates the academic periods in academic plans and financial aid attendance plans until this date on a student's primary program of study.If you want to associate the program with a federal student aid (FSA) policy that uses Pell Formula 4, the duration must be in weeks.Workday also uses this value for enrollment reporting to the NSC. - ClickSubmit.
You can use the
Find Programs of Study
report to access and view the program of study as of a specific date.Prospective students can indicate interest in the program of study during the recruitment process. After the
First Entry Date
, the program is available for selection in the Educational Interest
prompt when adding recruitment information for a student prospect.To edit a program of study, select from its related actions menu and enter the
Effective Date
of the change. The changes apply to prospective students with the program of study on or after the new effective date.You can change the owning academic unit or level on a stand-alone program of study. If changed, the program inherits the academic period date controls from the upper node that's effective as of the standard start date on the academic period. For academic periods that aren't standard, the program inherits date controls from the upper node that's effective as of the start date of the academic period.
If you're changing the program of study type or academic level, Workday recommends:
- Entering aLast Entry Datefor the existing program.
- Creating a new one with a different name or code.
To assign roles on a program of study, enable roles for the Program of Study organization type on the
Maintain Assignable Roles
task. See Set Up Assignable Roles.To restrict the program offering to specific campuses, access the
Maintain Campus Assignment Policy
task (secured to the Set Up: Campus Assignment
domain in the Student Records functional area) for the program of study to select allowed campus locations.
