Evaluate Academic Requirements

Advisors and students can explore what-if scenarios to evaluate how a student's current academic record satisfies the academic requirements for a different program of study. This evaluation provides a greater understanding of how close the student is to completing programs of study other than the ones they are currently enrolled in.
Workday evaluates academic progress for the selected programs of study, based on the academic requirements configuration for the program of study. You can specify which effective date that Workday uses to determine the applicable academic requirements for the program of study. For academic requirements inherited from the academic unit or program area, Workday uses the effective date from the academic requirements effective dates policy to determine which requirements are applicable.
The evaluation results compare and provide details about course requirements and completion in a single report. This report displays the same fields as the student’s
Academic Progress
report.
For students to evaluate their hypothetical scenarios for completing academic and program requirements, Workday provides the
Evaluate Academic Requirements
task (secured to the
Self-Service: Evaluate Academic Requirements
domain).
  1. Access the
    Evaluate Academic Requirements for Student
    task.
  2. From the
    Student
    prompt, select the student whose program of study you want to evaluate.
    Workday displays the active records of the programs of study for the selected student.
  3. Complete the
    Evaluate Programs of Study
    grid:
    Option Description
    Program of Study
    Select an available program of study.
    Is Primary
    Select if the program of study to evaluate is a primary program of study. When the selected program of study isn’t standalone, Workday disables the check box.
    Bundled With
    Select a parent program for a nonstandalone program of study. Select addable and stackable programs of study combinations as configured on the program of study definitions.
    Requirements Effective Date
    Select the date to determine the effective requirements for the program of study that you want to evaluate:
    • Current Date
      : Today’s date.
    • Current Requirements Effective Date
      : The requirements effective date for the student’s current primary program of study.
    • Matriculation Date
      : The start date of the student's record.
    • Program of Study Configuration Date
      : The effective date for the academic requirement configuration of the program of study.
    • Select a specific date from the
      Date
      calendar prompt.
    The options that display depend on the academic requirements evaluation display policy for administrators. See Set Up Academic Requirements Evaluation Display Policies.
    The date that you select applies to requirements configured for the program of study. For requirements inherited from the academic unit or program area, Workday looks at the academic requirements effective dates policy, which specifies either the matriculation date or program of study declare date. If the policy specifies the program of study declare date, Workday uses the specified
    Requirements Effective Date
    to determine which requirements are effective for the evaluation. See Set Up Academic Requirements Effective Dates Policies.
Workday runs the evaluation job and notifies you when the job completes. You can review the evaluation details from:
  • My Tasks
    .
  • The
    View Evaluated Academic Requirements for Student
    report.
Workday stores evaluation results for 10 programs of study at any time.
When you select the same program of study combination with the same program of study as primary, Workday overwrites the previously submitted evaluations. If you change the combination of programs, including which program is primary, Workday saves these results separately.
Students that use the
Evaluate Academic Requirements
task can view their evaluation results on the
View Evaluated Academic Requirements
report.
Robin completed 81% of academic requirements for their Mathematics Major. Robin now wants to switch their program of study to an Economics Major.
You're the academic advisor for Robin.
  1. Access the
    Evaluate Academic Requirements for Student
    task for the academic record.
  2. In the
    Evaluate Programs of Study
    grid, select
    Economics Major
    for
    Program of Study
    .
  3. Select the
    Is Primary
    check box.
  4. For the
    Requirements Effective Date
    , select
    Current Date
    .
  5. Click
    OK
    and
    Done
    .
  6. To review the results, access the
    View Evaluated Academic Requirements for Student
    report for Robin after the business process completes.
Compare the program completion details for the evaluated program with the current primary program of study. Robin has already satisfied:
  • 18 of the 22 requirements for the Mathematics Major.
  • 17 of the 23 requirements for the Economics Major (with 73% of the program completion).
You review the other details and advise Robin about their remaining requirements if they were to switch majors.
