Reference: Academic Progress Troubleshooting
When evaluating academic progress for students, Workday determines how course registrations apply towards academic requirements based on the policies and configurations you’ve defined, including:
- Academic progress processing policies.
- Academic requirements and eligibility rules.
- Academic requirement configurations and academic progress limits.
- Course equivalency groups.
- Course repeat policies.
- Restricted requirement groups.
Workday provides the
Academic Progress Troubleshooting Console
report, secured to these domains in the Academic Advising functional area:
- Manage: Academic Requirements
- Manage: Launch Academic Progress Evaluation
You can use this report to:
- Investigate which course registrations are used towards which academic requirements.
- Examine the configurations and policies used to determine how Workday processes academic progress.
The
Academic Progress Troubleshooting Console
report doesn't evaluate and update the student's academic progress. Workday recommends that you access the Launch Academic Progress Evaluation
task to evaluate the latest academic progress for the student before using this report. This report provides information about a student’s academic progress in these tabs:
Academic Requirements
For each of the student’s program of study, Workday displays these fields:
- Program of Study GPA, based on the most recent academic progress evaluation.
- Requirements Effective, the dates that Workday uses to determine which academic requirements are effective for the student. See Set Up Academic Requirements Effective Dates Policies.
- Requirements Not Assigned, the requirements that apply for the student’s academic unit, program of study, or program area, but aren’t assigned based on the student criteria in the academic requirement configuration. See Set Up Academic Requirement Configurations.
Workday considers the eligibility criteria on the academic requirements that apply for a student, and evaluates which of the student’s course registrations apply to which requirements.
In the
Academic Progress Requirements
grid, Workday displays:Column | Description |
|---|---|
Requirement
| The requirements that apply for the student.
From the related actions preview of the requirement, you can view more information about the requirement, including any overrides that are applied. See Override Academic Requirements for Student. |
Requirement Status
| The status of the requirement:
|
Eligible Registrations
| The student’s registrations that meet the eligibility rule on the requirement and can potentially be used to satisfy the requirement. |
Satisfied With
| The registrations that are used to satisfy the requirement.
Includes registrations applied as overrides, which may not be listed as eligible registrations. See Override Academic Requirements for Student. |
Disqualified Registrations
| The registrations that are eligible but are disqualified from being used for the requirement based on the configurations set up for academic requirements and academic progress. See more information in the Disqualified Registrations section. |
Remaining
| The courses or units needed to satisfy the requirement, not including in-progress registrations. |
% Requirement In Progress and Complete
% Requirement Complete | The percentage that the requirement is complete:

- Disqualified Registrations
- Based on the configurations set up for academic requirements and academic progress, a registration that’s eligible for a requirement may be disqualified from being used for that requirement. The table provides more information about the possible reasons for disqualification, in the order that Workday determines whether the registration is qualified. For each registration in theDisqualified Registrationscolumn of theAcademic Progress Requirementsgrid, you can view the disqualification reason from the related actions preview of the registration. Note that a registration may be disqualified for multiple reasons, but Workday displays the first reason that applies, based on the order of reasons in the table.Disqualified ReasonDescriptionRelated InformationThe requirement uses another registration in the same course equivalency group. The student has registrations for multiple courses in the same course equivalency group with anAcademic Requirementequivalency usage.Workday determines which registration to apply towards the requirement based on the course repeat policy that’s effective for the academic unit and level. The registration is used by another requirement and can't be shared with this requirement. The academic progress processing policy restricts registrations to be used by only 1 academic requirement. The academic progress processing policy has theRestrict Registrations to One Academic Requirementoption enabled, so the tenant is considered nonsharing. Once a registration is used for a requirement, it can’t be used for a different requirement. The registration is used by another requirement and can't be shared with this requirement, based on the restricted requirement group. The number of items or units allowed to overlap in the restricted requirement group has been reached. The restricted requirement group defines the number of registrations or units that can be shared across multiple requirements. Once that number is reached, the registrations that are used can’t be used for different requirements. The registration can't be shared with this requirement. The academic progress processing policy restricts registrations to be used by only 1 academic requirement, and the registration is used by another requirement in the same requirement list in this restricted requirement group. The academic progress processing policy has theRestrict Registrations to One Academic Requirementoption enabled, so each registration can only be used for 1 requirement. The restricted requirement group defines exceptions of requirements that can share registrations. However, a registration can only be used for 1 requirement in a given list on the restricted requirement group. This registration exceeds a limit on the eligibility rule for the requirement. The academic requirement uses an eligibility rule with 1 of these types:
- Combination
- Course Requirement
- Unit Requirement
The eligibility rule has a limit for the maximum number of registrations counted or units allowed. The registration exceeds the academic progress limit. The academic requirement configuration has an academic progress limit defined. The academic progress limit restricts the number of units or course registrations that can apply towards a student’s academic progress and program completion. The registration doesn't satisfy the grade criteria on the requirement. The academic requirement uses an eligibility rule with 1 of these types:- Combination
- Course Requirement
- Unit Requirement
The eligibility rule has criteria defined in theWith Gradesection, so the student must receive a certain grade for their completed registration to apply towards the requirement. The requirement uses another repeated attempt of the same course. The student has multiple attempts of the same course. Only 1 attempt can apply towards the student’s academic progress.Workday determines which attempt to count based on:- The course repeat policy that’s effective for the academic unit and level.
- Whether an override is applied to manually select the repeated course attempt to count on theOverride Repeated Courses for Studenttask.
Restricted Requirement Groups
The academic progress processing policy for the institution defines whether course registrations can be shared between academic requirements. Restricted requirement groups define exceptions for how specific academic requirements can share course registrations, or whether sharing is restricted for certain requirements.
The
Restricted Requirement Groups
grid displays:
- Information about the restricted requirement groups that apply for the student’s academic requirements.
- In theNo. of Overlapping Items Usedcolumn, the number of courses or units used that overlap in the restricted requirement group.
- In theRegistrations Usedcolumn, the registrations that Workday uses to satisfy the requirements included in each restricted requirement group.
Registration Processing Order
Workday evaluates a student’s completed and in-progress course registrations in the order based on either:
- Courses, for tenants opted into the Academic Progress Course Context feature. See Concept: Course Evaluations for Academic Progress.
- Requirements, for tenants not opted into the Academic Progress Course Context feature. See Academic Progress with Requirements Context Evaluations - Documentation.
The
Registration Processing Order
grid displays:Column | Description |

Potential Academic Requirements
| The requirements that the registration is eligible for. |

| The requirements that the registration is used towards. |
Academic Progress Limits
Academic progress limits define how many units or courses can apply towards a student’s academic progress and program completion. These limits are specified on academic requirement configurations. See Set Up Academic Requirement Configurations.
The
Academic Progress Limits
grid displays:Column | Description |
