Create Restricted Requirement Groups

Create Restricted Requirement Groups

Restricted Requirement Groups (RRGs) enable you to configure exceptions to the configured sharing or nonsharing policy for academic requirements at your institution. You can use these groups to either share registrations across academic requirements even if your institutional policy restricts registrations to 1 academic requirement.
Example: A student has a requirement of completing 12 units in Electives. They can only use 6 units from General Education courses to satisfy this requirement.
  • When your policy allows sharing registrations, you can configure a restricted requirement group to restrict sharing to only 6 units between the requirements.
  • When your institutional policy restricts registrations to a single requirement, you can configure a restricted requirement group to allow 6 units to share between the Electives and General Education requirements.
You can use these web services to create, update, and retrieve restricted requirement group records:
  • Get Restricted Requirement Groups
  • Put Restricted Requirement Group
  1. Access the
    Create Restricted Requirement Group
     task.
  2. For tenants with multiple institutions, select the
    Institution
     where you want the RRG to apply.
  3. (Optional) From the
    Academic Level
     prompt, select the academic level for the RRG.
  4. Click
    OK
    .
  5. Complete the task:
    Options
    Description
    Name
    For ease of use, enter a descriptive name. Examples:
    • BIOL-Science Core 1 over BIOL-Science Core 2.
    • BIOL-Science Core 1 do not share with BIOL-Science Core 2.
    • General Ed Science (BS.BIOCH) restricted from Biology 3 (BS.BIOCH).
    Start Date
    End Date
    To determine whether the RRG is applicable for the student, Workday looks at the requirements effective dates for the requirements in the RRG. The RRG applies when the student’s requirements effective dates are on or between the
    Start Date
     and
    End Date
    .
    If any requirements effective date is outside this date range, the RRG won’t apply for the student. Example: An override is applied for the student’s academic requirements effective date, and the date on the override is before the
    Start Date
     or after the
    End Date
    .
    You can't delete or inactivate restricted requirement groups.
    Select One
    Number of Items Allowed to Overlap
    Number of Units Allowed to Overlap
    Select either option.
    • Enter the number of registrations or units to share across academic requirements when your default policy restricts sharing.
    • Enter
      0
       to prevent sharing registrations or units when your default policy allows sharing. Enter a number to restrict sharing to the number you specify.
    Example:
    • Scenario 1: Your institutional policy restricts registrations to a single academic requirement. The student must complete 12 units for the Electives academic requirement. They can use 6 units from the General Education academic requirement to satisfy the Electives requirement. Enter

    • Scenario 2: Your institutional policy doesn't restrict registrations to a single academic requirement. The student must complete 12 units for the Electives academic requirement. They can use only 6 units from the General Education academic requirement to satisfy the Electives requirement. Enter

       to restrict sharing to only 6 units between these requirements.
    Preference
    Select an option:
    • Configured Processing Order
      : Select this option to follow the Default Academic Requirement Processing Order configured on the
      Maintain Academic Progress Processing Policy
       and the order of requirements on the
      Configure Academic Requirements
       task.
    • Restricted Requirement Group List 1
       or
      Restricted Requirement Group List 2
      : Select 1 of these options if you don't want to follow the processing order already defined. Select the preferred option if there's an overlap between the requirements lists.
    Example: You've defined your processing order to first process requirements for the program of study. Select either:
    • Configured Processing Order
       to follow the policy. If the items overlap, the requirements fulfill the program of study first.
    • Restricted Requirement Group List 1
      or
      Restricted Requirement Group List 2
      . If the items overlap, Workday applies the items from the list you select to fulfill the requirements.
    Requirement List 1
    Requirement List 2
    Select requirements in both lists.
    If items or units overlap in requirements in both lists, the list you select is given preference. If you select
    Configured Processing Order
    , the requirements are based on the default processing order and the order of requirements on the
    Configure Academic Requirements
     task.
  6. Click
    OK
    .
Workday evaluates the student's academic progress based on these restricted requirement groups. The restricted requirement group is applicable when the requirements effective dates for the student are within the start and end dates of the RRG.
Example of a Sharing Institutional Policy
In your institution, you permit sharing.
  1. On the
    Maintain Academic Progress Processing Policy
     task, you unchecked
    Restrict Registrations to One Academic Requirement
    .
    The Academic Requirement Processing Order is:
    • Academic Unit
    • Program of Study
    • Program Focus
    • Program Area
  2. On the
    Configure Academic Requirements
     task, you've configured this defined order for the requirements configured to the Academic Unit:
    • Requirement C
    • Requirement A
    • Requirement B
  3. On the
    Restricted Requirement Group
     task, you've configured these values:

Example of a Nonsharing Institutional Policy
In your institution, you don't permit sharing.
  1. On the
    Maintain Academic Progress Processing Policy
     task, you've selected
    Restrict Registrations to One Academic Requirement
    .
  2. Other than the sharing policy, your configuration is identical to the previous example.
In this scenario, courses MATH-101, MATH-220, and ECON-101 are in Requirement A, Requirement B, and Requirement C. The student has completed all 3 courses.

 task. The Default Academic Requirement Processing Order defines Academic Unit first. Requirement A can use only 1 course because you've defined your RRG to share 1 item between Requirement C and Requirement A.
Validate the RRG results to ensure that the configuration is accurate.
