Concept: Documents Overview
You can view, organize, add, and remove folders, and upload or delete files on the
Documents
.When you access the
Documents
tab from the navigation bar, you can:
- Access Groups.
- Manage folders.
- Root Folder Access Settings
- Upload documents.
- Search folders.
- Customize views.
- Display document details.
- Add comments to documents.
- Access Ask AI.
Manage Folders
You can organize your documents using folders and subfolders. Admin set up folder structures. You can sync folder structures with company file systems such as Google Drive, Box, SharePoint, or Dropbox, using either no sync (all files are uploaded into Contract Management and Document Intelligence) or 2-way sync options. You can view only the folders and files you have permission to access. See Manage Roles for more information.
Root Folder Access Settings
You can configure access permissions for your root, or documents folder to determine which documents users can view and interact with. You can provide all users or selected users with permissions to view and edit folders and their contents.
When you set access permissions:
- The permissions are inherited by root folders, enabling you to maintain baseline access restrictions for folders.
- You can adjust the permissions for individual folders from your documents page.
Upload Documents
You can upload documents to a destination folder using the
Upload
button or the Upload
tab. While uploading, Contract Management and Document Intelligence displays a processing status bar. You cannot edit the uploaded document until processing is complete.
When an upload fails, you can click
Process Document Again
to reprocess the document.You can view the history of all your uploaded documents in the
Upload Log
section on the Upload
tab. See Document Statuses in Contract Management and Document Intelligence for more information.Search Folders
You can use the
Search Folder
button to find specific folders. Select a folder in the search results to access its contents directly.When you select a folder or file, Contract Management and Document Intelligence displays an
Action
menu with these options:
- Add to Group: Available for documents only. You can use it to associate documents with a group. See Manage Document group for more information.
- Copy: Duplicate selected items and save them in a folder of your choice.
- Delete: Remove selected items.
- Edit- Update or add data fields to selected documents.
- Move: Transfer selected items to a folder of your choice.

For environments with high folder volumes (more than 75,000 folders), scrolling through the folder list to find a specific destination may result in a session timeout. To optimize performance, always type a partial name into the folder filter or search bar to narrow the results rather than scrolling through the complete list.
Customize Views
You can change the display by accessing the
Table Settings
menu. You can add, delete, and reorder columns; save your view for later use or load a previously saved view; and adjust the number of rows per page. See Create Custom Views for more information about creating custom views. Display Document Details
You can access the
Details
button when you hover over a document. Contract Management and Document Intelligence displays a quick look panel where you can view key document information, navigate to other documents, download the document, or open the document in a new tab. You can also click on a specific document to open the document details, organized on these tabs:
- Overview: Provides a summary of document characteristics using custom fields. These fields are a combination of Smart and custom fields. You can view smart fields that are automatically populated by Contract Management and Document Intelligence in the Smart Fields and Clauses. For more details, see Set Up Data Fields.
- Contents: Displays a fully searchable PDF that combines PDF and text views. Contract Management and Document Intelligence overlays OCR-translated text on the PDF. You can use the toolbar to search the document, zoom in and out, and adjust page width. Contract Management and Document Intelligence extracts and displays metadata fields and key clauses in a side panel in theKey InformationandContract Summarysections. You can edit metadata fields in theKey Informationsection.
- Key Clauses: Provides an overview of important clauses that your organization tagged and the Contract Management and Document Intelligence AI found in the document. For details, see Find and Tag New Clauses.
- Versions: Provides the history of document. For details, see Creating and Managing Versions.
- Groups: This side panel shows the specific documents that belong to a group. See Manage Document and Ticket Groups
Add Comments to Documents
You can leave comments and tag other users who have view permissions directly on a PDF contract. You can use comments for future reference by team members and for assigning tasks.
Access Ask AI
Ask AI enables you to ask simple, natural language questions about your contracts and receive clear, reasoned answers. The questions can range from basic to analytical. Contract Management and Document Intelligence automatically links answers to textual sources in the contract.
When Ask AI generates an answer, you can view the number of sources it references and highlight the corresponding text in the document. You can also copy the answer and clear the chat history.
