Set Up Data Fields

In Contract Management and Document Intelligence, you can:
  • Add custom fields to individual contracts.
  • Bulk update fields from the Search Console.
  • Create custom data fields to manually label documents.
By adding custom fields, you can drill down on your contract data for more refined searching and a greater understanding of document contents.
On the
Data Fields
tab in Contract Management and Document Intelligence, you can add new custom data fields and edit existing fields to:
  • Design upload and intake forms.
  • Set up approval workflows.
  • Track document information.
You can also:
  • Manage post signature QA.
  • Manage organization processes.
  • Track information.
You can apply data fields:
  • On a contract-type basis.
  • Systemwide.
Contract Management and Document Intelligence provides these primary data field types:
  • General:
    You can create as many additional data fields as you want using Workday-delivered fields.
Examples:
  • Contract author.
  • Contract owner.
  • Tags.

  5. In the new section, select
    Add Data Field
    .
  6. Complete the task.
    Option
    Description
    Field Type
    Select a data field type.
    Advanced Options
    Select to add default values or to add help text.
    Default value is not available for the
    Attachments
    field type.
    Display this field on upload
    : When you select this option, the field appears every time a document is uploaded. The system limits this selection to 2-3 fields.
    Document Types
    Select to add data fields to document types.
    Indicate whether this field should be restricted to documents of a specific type.
  7. (Optional) To move a data field within a section, select the multiline icon and drag the field to a new location.
  8. (Optional) To move a data field to a different section, select
    Move to Section
    from the related actions menu, select the new section, and click
    Move
    .
  9. (Optional) To move sections, click
    Reorder Sections
    , click and drag sections as needed, and click
    Save Order
    .
    Include a clarifier in the field name to indicate custom fields. Example: When a new field name is
    Title
    , name it
    Title_Company Name
    .
