Create Course Sections

Create Course Sections

  • Approve the course.
  • Set up the academic calendar. See Steps: Set Up Academic Calendars.

A course section is an offering of a course definition for a specific academic period. You can create course sections to satisfy student demand for a course as the number of course sections configured is always based on student interest and demand. You can also use a web service to load course sections.
To create or edit multiple course sections, use the
Manage Offerings for Course
task.
Workday automatically populates most values for the course section from the course. You can override them by selecting the
Section Overrides Allowed
check box on the
Create Course
or
Edit Course
task.
Workday generates a unique
Offering ID
for each course section based on the
ID Generator for Student Course Section
selected on the
Edit Tenant Setup - Student
task.
  1. Access the
    Create Course Section
    task.
  2. Complete the task:
    Option Description
    Academic Period
    Workday populates the
    Start Date
    based on the academic period you select.
    Start Date
    For dynamic course sections that don't belong to an academic period, enter a
    Start Date
    . These course sections must have start and end dates within a standard period on the academic calendar.
    Title
    Abbreviated Title
    Workday populates these fields when the course has only 1 listing. For cross-listed courses, Workday displays the options defined on the course.
    CIP Code
    Workday populates this code for courses configured to autogenerate course section numbers.
    Allowed Grading Bases
    (Optional) Select the grading bases from which students can select when registering for a course.
    Grid Configuration for Final Grade Roster
    Grid Configuration for Interim Grade Roster
    (Optional) Select the grid configuration for this course's final or interim grade roster. You can configure a custom grid that displays or hides information on the instructor view.
    Eligibility Rule
    (Optional) Identify the student population allowed to register for the course section.
    You can use:
    • Eligibility rules. See Create Student Eligibility Rules.
    • Condition rules using report fields on the Academic Record business object. Examples:
      Latest Class Standing
      or
      Latest Academic Standing
      .
    Reserved Capacity
    (Optional) Select to reserve seats for specific student populations.
    Complete the grid:
    • Order
      : Specify the priority order for eligibility rules when students satisfy more than 1.
    • Eligibility Rule
      : Identify the student population for whom you're reserving seats. To use
      Combination
      eligibility rules, they must only contain rule types that can be used for reserved capacity.
    • Reserved Until Date
      : Specify when to release unused reserved seats. When you run the
      Release Remaining Reserved Capacity
      task on or after this date, Workday releases all unused reserved seats.
    • Reserved Capacity Line Released
      : After you run the
      Release Remaining Reserved Capacity
      task, Workday displays this check box as selected for the relevant rows.
    Hide Course Section
    (Optional) Select to hide the course section from students.
    Course Section Tags
    (Optional) Course sections inherit tags from the course. When you select
    Section Overrides Allowed
    on the course, you can specify additional course section tags.
    Bookstore URL
    (Optional) Workday displays Bookstore URLs on the:
    • Course Materials
      tab on course section definitions.
    • Course Materials
      field on the
      View Course Section
      report.
    Published Instructor Roles
    (Optional) Select roles to display on the student view of a published course section.
  3. Complete the
    Instructor Roles
    grid:

    Select from the roles defined for course sections on the
    Maintain Assignable Roles
    task.
    Instructor
    Select from the eligible instructors defined on the
    Designate Instructor Eligibility
    task.
  4. Complete the
    Section Components
    grid:

    Meeting Pattern
    To specify a custom meeting pattern for this course section:
    1. Select
      Course Section Definition
      Maintain Custom Meeting Pattern
      from the related actions menu of the course section after you create it.
    2. Select the
      Override Standard Meeting Patterns with Custom Meeting Patterns
      check box.
    Location
    Select from locations that:
    • Have a usage of
      Campus
      or
      Instructional
      .
    • Are subordinate to the
      Allowed Locations
      for the course.
Workday evaluates and validates reserved capacity when students register for course sections.
The course section has a:
  • Preliminary
    status when you first create it.
  • Open
    status when you publish the course section.
Administrators can view:
  • Course section details from the
    Find Course Section Definitions
    report.
  • The instructor teaching schedule on the
    View Instructor Teaching Schedule
    report.
  • Instructor assignments on the
    Manage Period Activity Pay Assignments
    task in Workday HCM. See Manage Period Activity Pay Assignments.
Students can:
  • View course section details from the
    Find Course Sections
    report. The
    View Course Section
    report includes information about reserve capacity and available seats.
  • Register for a course section when the course section has an
    Open
    status.
Instructors can access their teaching schedule on the
View My Teaching Schedule
report (secured to the
Manage: Instructor Access
domain in the Student Records functional area).
From the related actions menu of the course section, you can:
  • Edit the course section by selecting
    Course Section Definition
    Edit
    .
  • Publish the course section by selecting
    Activity Offering
    Publish
    . The course section status changes from
    Preliminary
    to
    Open
    .
Access the
Course Section Conflicts by Academic Period
report to view all conflicting activity offerings within the academic period. Select
Find Course Sections to Overlap
Manage Course Sections Overlaps
from the related actins menu to fix these conflicts.
To view and change course section start and end dates in bulk, use the
Propagate Course Section Date Changes
report.
