Steps: Set Up Course Fees

You can use course fees to define the cost of a course or course section. Each course or course section can have 2 types of fees:
  • Course fees. When course sections have course fees, Workday excludes their units from calculations for registration-based fees and charge item assignments.
  • Additional fees, such as fees for materials. When course sections have additional fees without a course fee, Workday includes their units in calculations for registration-based fees and charge item assignments.
Course sections can inherit fees from courses, making it easier for you to configure fees when course sections share the same set of fees. You can override inherited fees by configuring different values for a course section. Example: All sections of Anthropology 101 have the same fees, except Section D. You can use inheritance to define fees for the sections and manually override the inheritance for Section D.
  1. (Optional) Access the
    Create Student Fee Group
    task.
    Define course fees and additional fees to assign as a group. You can assign the grouped fees together instead of defining fees for each course or course section individually.

    business process and security policy in the Student Financials functional area.
  2. Access the
    Configure Student Course Fees
    task.
    Assign a predefined student fee group or add fees individually to a course or course section.
    To ensure inheritance, add fees to a course before creating course sections. Course sections don't inherit fees when you add them to a course after creating the course sections. Workday only charges students for course sections that include fees. When the associated course has fees but the course section doesn't, Workday doesn't charge the student. You can manually add fees to course sections that missed inheriting them.

  3. As you complete the task, consider:

    Estimated Non-Resident Cost
    (Optional) These values help students plan which courses to take and are informational only. Workday doesn't use these values in any processing.
    Course Fee Amount/Calculation
    Additional Fee Amount/Calculation
    Enter an amount or select a calculation that determines the fee amount. If the associated charge item has a calculation, the course fee overrides it.
    Course Fee Charge Item
    Additional Fee Charge Item
    Select the charge item to use for the fee. The charge item must belong to the same academic unit or superior academic unit as the course.
    Avoid using a charge item that you're also using elsewhere, such as in a registration-based fee or as a charge item assignment.
The fees are visible on the course or course section definition.
Workday assesses the fees when the student registers for a course section.
