FAQ: 1098-T Reporting

After selecting the Default to Electronic Consent check box on the Maintain 1098-T Consent Policy task, does the Consent for Electronic Delivery report field setting under the Student Institutional Financial Account business object change to
True
before a student consents?
No; at this point, selecting the
Default to Electronic Consent
check box determines only the initial state of the student's My Tasks consent message. The consent setting remains
False
until the student consents to electronic 1098-T delivery. If they ignore the message, Workday has no consent on file to exclude the student from 1098-T mass printing.
Why does the Manage Paperless 1098-T task still require a student to select a year now that we’re using a lifetime consent policy?
Even under a lifetime consent policy, the requirement to select a year on the
Manage Paperless 1098-T
task is a functional design choice that provides a historical record while allowing students to change their preference for future years. While the task requires a year selection, once a student submits a lifetime election, they don't have to access this task again.
What happens to a student’s 1098-T electronic consent status when an outdated onboarding event is canceled before they submit their consent preference via My Tasks?
In this situation, the student's consent status doesn’t change. However, if the student previously made an election, canceling the onboarding event unlocks the student's record, which allows:
  • Students to change their election using the
    Manage Paperless 1098-T
    task.
  • Administrators to change the election on the student's behalf using the
    Manage Consent for Removal from 1098-T Mass Print
    task.
Can a student still view their 1098-T in Workday if they remove consent to receive a paperless 1098-T?
Yes, students can always view electronic copies of their 1098-T using the
View My 1098-T
report and print paper copies using the
Print My 1098-T
task.
How do I change 1098-T printing consent?
You can use the
Manage Consent for Removal from 1098-T Mass Print
task to change a student's consent when a student:
  • Changes their mind about receiving a paper copy of their 1098-T tax form for a calendar year.
  • Provided consent to print by mistake.
Students can use the
Manage Paperless 1098-T
task to change their consent.
Are there any scenarios where Workday won't generate a 1098-T?
Workday won't automatically generate 1098-T forms for students who:
  • Have citizenship outside of the United States.
  • Are permanent residents or international students, unless you've configured them as eligible on the
    Maintain 1098-T Options
    task.
  • Don't have:
    • Any eligible charges for qualified tuition and related expenses (QTRE) in the calendar year.
    • Carryover QTRE charges from the previous calendar year.
    • Payments in the calendar year.
You can use the
Generate Student 1098-T
task to generate 1098-Ts manually for students who fall into any of these categories.
Will the 1098-T Outbound integration send 1098-T information for any students who are missing their Taxpayer Identification Number (TIN) or U.S. mailing address?
Yes, the integration sends all 1098-Ts generated to the Internal Revenue Service (IRS), including students who are missing their TIN or U.S. mailing address.
You're responsible for compliance with legal requirements by doing your due diligence to collect 1098-T reporting information.

can help you identify any student who's missing a TIN or US mailing address.
Where can I see how Workday calculated 1098-T box values?
Administrators can use the
View 1098-T Box Details for Student
report to review details about 1098-T boxes. This report includes the charges and payments used to calculate the values and any overridden values. Students can use the
My 1098-T Box Details
report to view the box details that you selected in the
Maintain 1098-T Options
task.
How do I display unmasked TINs to administrators, but also mass-print and mail 1098-T forms with partially masked TINs to students?
When administrators print 1098-T forms, Workday prints TINs based on the configuration of the
Truncate Taxpayer Identification Number (TTIN)
check box on the
Maintain 1098-T Options
task. To display unmasked TINs to administrators but print 1098-T forms with partially masked TINs, you must change this configuration when you print the forms.
Example:
  1. Clear the check box to enable administrators to see unmasked TINs.
  2. Before generating 1098-T forms, select the check box to print partially masked TINs.
  3. When you've completed 1098-T processing, clear the check box again.
How are 1098-T forms sorted for mass printing?
Workday sorts 1098-T forms for mass printing by Address Line1 data.
