Maintain 1098-T Consent Policy

domain in the Student Financials functional area.
You can access the
Maintain 1098-T Consent Policy
task to manage your institution’s student consent policy for electronic 1098-T delivery using one of these options:
  • Calendar Year
    – Students must submit their consent preference every year.
  • Lifetime
    – Students must submit their consent preference only once.
This task also enables administrators to:
  • Manage the consent text that displays to students on the
    Manage Paperless 1098-T
    task. You can enter a custom description or use this default text: “I consent to not receive a paper copy of my 1098-T. I understand that I'll still receive an electronic copy that I can print.”
  • Preselect the
    Default to Electronic Consent
    check box on a student’s related My Tasks message as part of the
    Student Onboarding Event
    and
    Continuing Student Registration Onboarding Event
    business processes.
  1. Access the
    Maintain 1098-T Consent Policy
    task.
  2. On the prompt, select an
    Institution
    if necessary and
    Effective Calendar Year
    .
    If your institution already distributed student onboarding and doesn't want the current calendar year to default to a lifetime consent policy, select a future calendar year before distributing any onboarding processes for that year. This is necessary because Workday:
    • Effective-dates 1098-T policies to January 1 of the selected year.
    • Retroactively applies the lifetime status to existing records when switching to a lifetime consent policy after students have already responded to a calendar year request.
  3. Click
    OK
    .
  4. (Optional) Select the
    Default to Electronic Consent
    check box.
  5. For
    Consent Duration
    , select
    Calendar Year
    or
    Lifetime
    .
  6. (Optional) Customize the
    Student Consent Description
    .
  7. Click
    OK
    , then
    Done
    .
Workday applies the specified 1098-T consent policy for students.
For the lifetime consent policy: When an administrator initiates an associated onboarding business process during the current calendar year but a student hasn’t responded to their 1098-T electronic consent message, the student must then consent to the lifetime policy by accessing My Tasks.
After consenting:
  • Students can change their election using the
    Manage Paperless 1098-T
    task.
  • Permissioned administrators can view 1098-T policy snapshots by calendar year using the
    View 1098-T Consent Policy Snapshot
    task. (Security:

  • You can change a student's consent on their behalf using the
    Manage Consent for Removal from 1098-T Mass Print
    task.
