Process 1098-T Forms Through a Third-Party Vendor

  • Generate and review 1098-T forms for the tax year. See Generate 1098-T Forms and Process 1098-T Forms.
  • Confirm with your vendor that they are IRIS-ready for tax year 2026 (filed early 2027).

You can prepare Form 1098-T student tax data for transmission when you are filing manually through the Taxpayer Portal or when a third-party vendor is your transmitter and submits Form 1098-T data to the IRS on your behalf.
Workday does not deliver a prebuilt integration template Taxpayer Portal upload or third-party IRIS filing. Instead, you build a custom report using the 1098-T business object and export the data in the layout and file format required by your vendor.
The legacy FIRE file format (.txt) is no longer available for these custom report filing paths following IRS retirement of the Filing Information Returns Electronically (FIRE) system. Reporting fields on the 1098-T business object remain unchanged, enabling you to build custom report extracts prior to the tax filing season.
Your institution remains the official IRS Issuer of record and retains legal responsibility for all Form 1098-T returns, including returns you upload to the Taxpayer Portal and every Form 1098-T return that a third-party vendor files on your behalf. . Confirm with your vendor who maintains IRS registration, digital security certificates, acknowledgment tracking, corrections, and replacement filings.
If your institution transmits data directly to the IRS using the Workday Application-to-Application (A2A) integration, see Set Up 1098-T IRIS Integrations and Submit 1098-T Forms Using IRIS.
  1. (Optional) Contact your third-party vendor before the filing season.
    Confirm:
    • Whether the vendor is prepared for IRIS filing for tax year 2026 (filed in early 2027).
    • The required file format following FIRE .txt retirement such as CSV exported from a Workday custom report.
    • Whether your institution or the vendor owns IRS registration, Transmitter Control Codes (TCC), digital certificates, and acknowledgment tracking.
    • The vendor workflow for submitting corrected student records and rejected batch replacements under IRIS.
    • Whether the vendor transmits through the IRIS Taxpayer Portal or IRIS Application-to-Application (A2A).
    • The vendor testing timeline and requirements for IRIS file validation.

Coordinate with your vendor to determine:
    • Required column layout and field order.
    • Preferred delivery method and output format such as CSV, TXT, or custom XML.
    • Whether the vendor provides a preconfigured report definition or column specification sheet.
  3. (Optional) If your institution previously transmitted the FIRE .txt file to a vendor through an integration, update or replace that integration to generate output in your vendor's new file format.
Workday generates a custom 1098-T data extract formatted for your third-party vendor. The vendor transmits the file to the IRS. Workday does not transmit IRIS files directly or require IRIS credentials for this filing path.
