Concept: Assigning Student Prospects to Regions
You can assign student prospects to recruiting regions:
- Automatically, if the prospect has an address or educational institution in Workday.
- Manually.
The History profile group on a prospect's profile tracks all region assignments and
changes.
Adding or updating a region assignment
causes Workday to reevaluate a prospect's system-assigned admissions counselors.
Automatic Assignment
When you add or update student prospects, Workday finds the regions defined for the prospect's
recruitment academic unit and academic level.
- For regions defined with geographic criteria, such as state or postal codes, Workday assigns prospects based on their address following this hierarchy:
- Primary street address.
- Any street address.
- Any other primary address.
- Street address of the educational institution associated with the prospect.
- For regions defined by educational institution only, Workday assigns prospects who have the same educational institution on their prospect profile.
Manual Assignment and Removal
Use these tasks to manually assign or remove prospects from
regions:
- Edit Student Recruitmenttask, accessible from the Recruitment profile group on the prospect’s profile by clickingEditfor the recruitment record.You can remove a system-assigned region by selecting it in theExclude from System Assignmentcolumn. Workday won't assign the region to the prospect's recruitment again.
- Manage Student Prospects for Recruiting Regiontask, secured to theManage: Student Recruiting Regiondomain.When you use this task to remove a system-assigned region, Workday adds the region to theExclude from System Assignmentcolumn on the prospect's profile.
- Mass Student Prospect Updatetask, secured by theStudent Prospect Update Eventbusiness process and security policy.Users with access to theMass Student Prospect Updatetask (available through theFind Student Recruitmentsreport), can add regions to multiple recruitment records at the same time. Use this task with caution. If you have to undo the reassignments, you might need to update prospects one at a time.
Viewing Region Assignments for Prospects
You can view:
- A prospect's region assignment in theRegionsgrid on the Recruitment profile group of the prospect's profile.
- The prospects assigned to a region by using the Recruiting Region filter on theFind Student Prospects reportor the Region filter on theFind Student Recruitmentsreport. (You can select regions associated with an academic unit you're secured to.)
