Reference: Financial Aid Impacts of Academic Period Date Changes

When you change academic period dates, Workday places a hold with a reason of
Calendar Date Change
 on students who have registrations in impacted academic periods. Workday holds these processes until you review and remove the hold:
  • Attendance plans.
  • Cost of attendance.
  • Disbursement.
  • Merit and need packaging.
Before changing any academic period dates, consider the impacts it can have on your current configurations. When you update existing academic period dates, make sure you follow up in these areas:

Workday uses academic period standard start and end dates to determine which academic period a course registration falls into. When you change academic period dates, Workday holds processing on attendance plans, cost of attendance, and financial aid packaging.
Common Origination and Disbursement (COD) Reporting
Workday uses the academic period start and end dates associated with student financial aid period records to report on loans to COD.
Date Controls
Updating academic period dates can change the date controls you configure for financial aid processes.
Expected Completion Dates
Updating academic period dates can change the academic period of a student’s expected completion date. Student expected completion dates impact the financial aid record snapshot that Workday uses to calculate student load statuses.
Financial Aid Disbursement Schedules
Workday bases disbursement schedules off academic period standard start and end dates. When you update these dates, financial aid packages might disburse at a different time than you anticipate.
Financial Aid Policies
Workday uses the standard start date of academic periods to determine when certain academic policies apply to students. Make sure that the effective dates of your financial aid policies are correct. You can use the
Financial Aid Configuration Tool
 report to see which policies Workday uses to calculate financial aid.
Weeks of Instruction
Workday calculates the
Weeks of Instruction
 value based on your academic period start and end dates and any holidays or scheduled breaks that are 7 days or longer, including adjoining weekend days.
