Update Academic Period Dates

Update Academic Period Dates

  • Set up academic calendars.
  • Security:
    Manage: Academic Calendar Updates
     in the Academic Foundation functional area.
You can update the start and end dates for existing academic periods, including periods with live data. When you change dates, consider that these changes impact:
  • Adjacent academic period dates, including periods on a different academic calendar.
  • Other areas that rely on this configuration. Possible impacted areas include application data, published course sections, and financial aid policies.
Workday automatically places these types of holds on students who have registrations in updated academic periods, with a hold reason of
Calendar Date Change
 and hold context of
Academic Periods
:
  • Attendance Plan
  • Charge Assessment
  • Cost of Attendance
  • Disbursement
  • Merit Packaging
  • Need Packaging
Workday recommends you consult each of your student services offices to ensure that all stakeholders are aware of the impacts of this task.
  1. Access the
    Edit Academic Period Dates
     task.
    If you have multiple institutions in your Workday tenant, select an
    Institution
    . You can only select an
    Academic Period
    :
    • Associated with the calendar policy configured for the institution or an academic unit that's subordinate to the institution.
    • Not configured to an institutional calendar policy if you leave the field blank.
    Workday prefills the
    Institution
     field for single-institution tenants or if you have access to only 1 institution.
  2. As you complete the task, consider:
    Option Description
    Standard Start Date
    Standard End Date
    Standard start dates represent the start of the reporting window for an academic period. Because standard dates are contiguous and nonoverlapping, updating the:
    • Standard start date automatically impacts the standard end date of the prior academic period.
    • Standard end date automatically impacts the standard start date of the next academic period.
    Weeks of Instruction
    Workday uses this field in financial aid calculations. Consult your financial aid administrator before updating this field.
Workday automatically updates these items for the impacted academic periods, academic years, and academic policies:
  • Athletic team assignments and student residency data.
  • Student applications, student application evaluation information, and student recruitment data.
Workday also updates date controls associated with future academic periods dates.
Access the
Refresh Financial Aid Based on Configuration Changes
 task and select the
Refresh SFS Based on Calendar Setup Date Change
 option. This task ensures that Workday updates student financials and financial aid data with the new academic period dates.
