Refresh Financial Aid Attendance Plans

Workday automatically refreshes financial aid attendance plans every night so that financial aid processes that use attendance plan data have the most updated academic period, load status, or class standing details. If you need updated attendance plan data right away, you can manually refresh attendance plans instead of waiting for the Student Nightly Job Orchestration. Example: A student drops a class and needs to know immediately what impact that has on their financial aid.
Workday recommends waiting for the nightly refresh whenever possible.
  1. Access the relevant report:
    • Run Student Financial Aid Processes by Applicant
      .
    • Run Student Financial Services Processes by Student
      .
    These reports help you manually process ISIRs instead of waiting for Student Nightly Job Orchestration. See Reference: Run Student Financial Processes Reports.
  2. Select the students for whom to refresh attendance plans.
    Workday recommends refreshing attendance plans before progressing ISIRs. For optimal tenant performance, Workday recommends refreshing attendance plans for only a few students at a time.

  4. Complete the task:
    Option Description
    As of the Current Standard Academic Period
    Select if you want to refresh the load statuses of academic periods as of the current standard academic period. This prevents the load statuses of the past academic periods from updating retroactively.
    Workday recommends that you use this option to refresh the load statuses.
    For All Standard Academic Periods
    Select if you want to update the load statuses for all standard academic periods including the past academic periods.
    When you refresh load status for past academic periods, you might want to rerun these tasks:
    • Package Merit Financial Aid
    • Package Need Financial Aid
    • Evaluate Satisfactory Academic Progress
    As of the Standard Academic Period Inclusive of the Effective Date
    Select if you want to update the load statuses of academic periods as of the standard academic period that is based on the effective date. Workday determines the standard academic period based on the standard end date.
    Example: Spring 2025 has a start date of 01/01/2025 and an end date of 05/31/2025. When you enter an effective date of 04/15/2025, Workday refreshes the load status for the Spring 2025 academic period. When you enter an effective date of 12/01/2024, Workday also refreshes the load status of the previous academic period, Fall 2024.
Downstream processes use the updated attendance plan data the next time they execute. You can wait for the Student Nightly Job Orchestration to use the updated data, or you can run the processes manually.
(Optional) Manually run downstream processes using the
Run Student Financial Aid Processes by Period
report. If you launch the downstream processes manually, Workday recommends running them in the same order that the Student Nightly Job Orchestration executes them:
  • Cost of attendance.
  • Merit packaging.
  • Need packaging.
  • Disbursement.
  • Charge assessments.
