Edit Financial Aid Attendance Plans

Workday automatically calculates the academic period details on students' financial aid attendance plans based on the academic policies of their primary program of study. You can override these values and specify your own.
Example: Edit financial aid attendance plans for a student who is participating in a Borrower-Based Academic Year (BBAY) program of study, where academic dates are dynamic.
Workday recommends limiting direct edits and using Workday-calculated values whenever possible.
You can view load status and class standing information on financial aid attendance plans, but you can't edit them directly on attendance plans.
  1. Access the
    Attendance Plan
    report on the Financial Aid profile group of the student profile.
  2. Select
    Financial Aid Period Record
    Edit Period Details Overrides
    from the related actions menu of the magnifying glass of an academic period.
  3. As you complete the task, consider:
    Option Description
    Award Year
    Select a financial aid award year for the academic period.
    Academic Year Type
    Select an academic year type for Federal Direct Loan processing.
    For standard academic periods considered summer for financial aid purposes, the academic year type determines the award year to which the summer period belongs.
    All academic periods in the same financial aid award year must have the same academic year type.
    Academic Year Sequence
    Enter a number to identify the academic year to which an academic period belongs. Example: Enter
    1
    for Fall 2024, Spring 2025, and Summer 2025 to identify them as the first academic year for a freshman matriculating in Fall 2024.
    For eligible records, overriding this value can affect the student's COD loan limit exception status for the financial aid period record. See Set Up COD Loan Limit Exceptions.
    Weeks of Instruction
    Workday automatically populates the weeks of instruction from the academic period.
    In order for Workday to process the academic period with the new value, add the:
    • Weeks of Instruction
      reaction reason to the cost of attendance (COA) reaction policy for the academic unit or program of study.
    • Weeks of Instruction (Award Year)
      reaction reason to the merit or need packaging reaction policies for the academic unit or program of study.
    Order in Sequence
    Ensure that the number you enter isn't more than the number of academic periods in the award year.
The attendance plan:
  • Automatically refreshes after you make overrides.
  • Flags the student's COA, need financial aid package, and merit financial aid package when there are changes in attendance plan structure or load status.
Manually refresh the attendance plan to lock your edits and make the data available for downstream financial aid processes.
