Example: Set Up the Academic Structure of a Community College

This example illustrates 1 way to set up the academic structure for a community college.
You want to set up Alma Mater Community College (AMCC) with the Division of Arts and Sciences, which comprises these departments:
  • English
  • History
  • Mathematics
AMCC recruits and admits for the Division of Arts and Sciences. The Division of Arts and Sciences offers programs of study and courses. In the Division of Arts and Sciences, you also want to configure:
  • Associates and Baccalaureate academic levels.
  • Course offerings.
  • Departments.
  • Programs of study offerings.
This table displays what AMCC, its divisions and departments can do in Workday at each academic level:

    Maintain Academic Levels
     task to create these academic levels:

    • Baccalaureate
  • Security:
    Set Up: Academic Structure
     domain in the Academic Foundation functional area.
  1. Access the
    Create Academic Unit
     task.
    1. Enter these values to create an academic unit for AMCC:
      Field
      Value
      Name
      Alma Mater Community College
      Code
      AMCC
      Include Code in Name
      Select the check box.
      Organization Subtype
      College
    2. Click
      OK
       and
      Done
      .
    1. From the related actions menu of Alma Mater Community College, select
      Academic Unit
      Edit Institution Designation
       .
    2. Select the
      Institution
       check box.
    3. Click
      OK
       and
      Done
      .
  3. Access the
    Create Academic Unit
     task.
    1. Enter these values to create an academic unit for the Division of Arts and Sciences:
      Field
      Value
      Name
      Arts and Sciences
      Code
      DAS
      Include Code in Name
      Select the check box.
      Organization Subtype
      Division
    2. Click
      OK
       and
      Done
      .
  4. Designate the Division of Arts and Sciences as subordinate to Alma Mater Community College.
    1. From the related actions menu of the Division of Arts and Sciences, select
      Academic Unit
      Assign Superior
      .
    2. Click
      OK
      .
    3. From the
      Superior
       prompt, select
      Alma Mater Community College
      .
    4. Click
      Submit
      .
  5. Access the
    Create Academic Unit
     task.
    1. Enter these values to create an academic unit for the English Department:
      Field
      Value
      Name
      English
      Code
      ENG
      Include Code in Name
      Select the check box.
      Organization Subtype
      Department
    2. Click
      OK
       and
      Done
      .
  6. Designate the English Department as subordinate to Division of Arts and Sciences.
    1. From the related actions menu of the English Department, select
      Academic Unit
      Assign Superior
      .
    2. Click
      OK
      .
    3. From the
      Superior
       prompt, select
      Arts and Sciences
      .
    4. Click
      Submit
      .
  7. Create academic units for these departments and assign the Division of Arts and Sciences as the superior academic unit:
    • Department of History.
    • Department of Math.
  8. Access the
    Configure Academic Unit for Level
     task.
    Configure what AMCC and each academic level of AMCC can do in Workday.
    1. From the
      Academic Unit
       prompt, select
      Alma Mater Community College
       and click
      OK
      .
    2. From the
      Academic Levels Offered
       prompt, select
      Associates
       and
      Baccalaureate
      , then click
      OK
      .
    3. Enter or select these values and then click
      OK
       and
      Done

     task.
    Configure the levels and offerings for the Division of Arts and Sciences.

       prompt, select

       and click
      OK
      .
    2. From the
      Academic Levels Offered
       prompt, select
      Associates
       and
      Baccalaureate
      , then click
      OK
       .
    3. Enter or select these values and then click
