Example: Set Up the Academic Structure of a University

This example illustrates 1 way to set up the academic structure for a university.
You want to set up Alma Mater University (AMU) as an institution with these schools:
  • School of Business
  • School of Music
  • School of Nursing
At the Undergraduate Level,
  • The School of Nursing does its own recruiting and admitting.
  • AMU recruits and admits for the other schools.
  • All the schools offer programs of study and courses.
You also want to configure graduate levels for all the schools. This table displays the academic structure and levels, including offerings, that you want to configure:

     task to create these academic unit subtypes:
    • University
    • School
  • Use the
    Maintain Academic Levels
     task to create these academic levels:
    • Undergraduate
    • Graduate
  • Security:
    Set Up: Academic Structure
     domain in the Academic Foundation functional area.
  1. Access the
    Create Academic Unit
     task to create the institutional academic unit.
    1. Enter or select these values:
      Field
      Value
      Name
      Alma Mater University
      Code
      AMU
      Company
      A200.1 Alma Mater University (USA)
      Include Code in Name
      Select the check box.
      Organization Subtype
      School
    2. Click
      OK
       and
      Done
      .
    1. From the related actions menu of Alma Mater University, select
      Academic Unit
      Edit Institution Designation
      .
    2. Select the
      Institution
       check box.
    3. Click
      OK
       and
      Done
      .
  3. Access the
    Create Academic Unit
     task to create an academic unit for the School of Nursing.
    1. Enter or select these values:
      Field
      Value
      Name
      School of Nursing
      Code
      NURS
      Include Code in Name
      Select the check box.
      Organization Subtype
      Department
    2. Click
      OK
       and
      Done
      .
  4. Designate the School of Nursing as subordinate to Alma Mater University.
    1. From the related actions menu of the School of Nursing, select
      Academic Unit
      Assign Superior
      .
    2. Click
      OK
      .
    3. From the
      Superior
       prompt, select
      Alma Mater University
      .
    4. Click
      Submit
      .
  5. Follow Step 3 through Step 4 to create academic units and assign Alma Mater University as the superior for the:
    • School of Business.
    • School of Music.
  6. Access the
    Configure Academic Unit for Level
     task.
    Configure the levels and offerings for Alma Mater University.
    1. From the
      Academic Unit
       prompt, select
      Alma Mater University
       and click
      OK
      .
    2. For
      Academic Levels Offered
      , select
      Academic Level
      Undergraduate
      .
    3. Click
      OK
      .
    4. Enter or select these values:
      Field
      Value
      Effective Date
      Leave as the current date, or select an effective date that's on or after the effective date of the academic unit.
      Configuration Options
      Select:
      • Admit Students
      • Recruit Students
      Use Dynamic Period/Use Fixed Period/Use Fixed or Dynamic Period
      Select the
      Use Fixed or Dynamic Period
       option.
    5. Click
      OK
       and
      Done
      .
  7. Access the
    Configure Academic Unit for Level
     task.
    Configure the levels and offerings for the School of Nursing.
    1. For
      Academic Levels Offered
      , select
      Academic Level
      Undergraduate
      .
    2. Click
      OK
      .
    3. Enter or select these values:
      Field
      Value
      Effective Date
      Leave as the current date, or select an effective date that's on or after the effective date of the academic unit.
      Configuration Options
      Select:
      • Admit Students
      • Offer Courses
      • Offer Programs of Study
      • Recruit Students
      Use Dynamic Period/Use Fixed Period/Use Fixed or Dynamic Period
      Select the
      Use Fixed or Dynamic Period
       option.
    4. Click
      OK
       and
      Done
      .
  8. Access the
    Configure Academic Unit for Level
     task.
    Follow Step 7 to create the Graduate level and offerings for the School of Nursing.
  9. Create academic levels and offerings for these schools:
    • School of Business.
    • School of Music.
