Example: Create an Institution Prompt for Workday-Delivered Reports in a Multiple-Institution Tenant

This example illustrates how to create an institution prompt on Workday-delivered reports in a multiple-institution environment.
You’re the Workday Student Administrator for all the institutions in your Workday tenant. You want to create an institution defaulting prompt for the
Find Programs of Study
report. The Institution prompt restricts users to view programs for only the institutions to which they have access.
You want to configure the prompt for:
  • Administrators by restricting them to view only the programs in the institutions in which they have assigned roles.
  • Students by enabling them to search for programs of study across the institutions in which they have active records.
To create a report with the Institution defaulting prompt, start by making a copy of the standard report.
Security:
View: Program of Study
domain and security policy in the Academic Foundation functional area.
  1. Access the
    Find Programs of Study
    report.
    Security:
    View: Programs of Study
    domain in the Academic Foundation functional area.
  2. From the related actions menu, select
    Standard Report
    Copy
    .
  3. For
    Name
    , enter
    Find Programs of Study by Institution
    .
  4. Click
    OK
    and
    Done
    .
  5. Access the
    View Custom Report
    task.
    Security:
    Manage: All Custom Reports
    domain in the System functional area.
  6. In the
    Custom Report
    prompt, enter
    Find Programs of Study by Institution
    .
  7. Click
    OK
    .
  8. From the related actions menu, select
    Custom Report
    Edit
    .
  9. Click the
    Filter
    tab.
  10. Add a new line and enter these values:
    Field
    Institution
    Operator
    In the selection list
    Comparison Type
    Value from another field
    Comparison Value
    Prompt - Institution
  11. Click the
    Prompts
    tab.
  12. In the
    Prompt Defaults
    grid, add a new line and enter these values:
    Field
    Institution
    Default Type
    Determine Default Value at Runtime
    Default Value
    Institution (For Prompt Defaulting)
    Required
    Yes
  13. Click the
    Share
    tab and select
    Share with specific authorized groups and users
    .
  14. For
    Authorized Groups
    , select the student administrator groups and student groups.
  15. Click
    OK
    and
    Done
    .
The program of study report you created is available to all administrators and students you share with:
  • For administrators with access to only 1 institution, only the single institution defaults in the
    Institution
    prompt. For administrators with access to multiple institutions, all the institutions that they have access to display in the
    Institution
    prompt.
  • For students with active records in 1 institution, only the single institution defaults in the
    Institution
    prompt. For students with active records in more than 1 institution, all the institutions in which they have active records display in the
    Institution
    prompt.
