Concept: Matrix Report Viewer

When you run a report in HTML mode, the result displays in the Report Viewer. From the report viewer, you can:
  • View the data.
  • Add notes to the report or line items.
  • Download the report to Excel or PDF. For Excel, you need the
    Download to Excel
    permission.
  • Drill down into dimensions for additional details.
  • Change the parameter values to see different data.
  • Click values in the report to launch the Cell Explorer.

Report Viewer Toolbar

The report viewer toolbar includes these options:
  • Return to undrilled report
    returns you to the predrilled state of the report.
  • Save
    lets you save the report. This option is convenient if you made changes in the report builder, but didn't save the report before running it.
  • Save As
    lets you save the report under a different name.
  • Create Snapshot
    lets you save a snapshot of the report at a particular point in time.
  • Edit
    returns you to the report builder, with the current report loaded.
  • Share
    lets you share the report with specific users, user groups, or levels in the organization.
  • Send Notification
    lets you share the report and also send an email notification with a message. To see this option, you need the
    Send Notifications
    permission.
  • Refresh
    lets you refresh the report data to the latest changes without navigating away from the page.
  • Download as Excel
    takes you to the Download Report page and lets you download the report as an Excel
    TM
    file. You need the
    Download to Excel
    permission for this option.
  • Download as PDF
    takes you to the Download Report page and lets you download the report in printable PDF format.
  • Search
    lets you search across account names, dimensions, values, and notes content in the report data you're currently viewing.
  • Freeze Headers
    lets you freeze (or unfreeze) headers. Frozen headers stay in place when you scroll the report. The lock on the icon displays closed when you freeze the headers, and open when they aren't.
  • Show Information
    lets you view or hide specific report details and specifications such as the applied version, level, or currency.
  • Notes let
    you add notes either to the whole report or to report rows.
If you download a report with prompting parameters, the download options take you to the
Select Prompting Parameters
page. From this page, you can select parameter options and run the report. When you run the report, it also downloads the report.

Blanks and Zeros on Reports

A matrix report can display blanks because:
  • You set the report or element properties to display zeroes as blanks.
  • The cross sections of data don’t exist because the account has a coarser time configuration than the column. Example: The account might have monthly data when the column is displaying weekly data. Because there’s no weekly data for the account, it displays a blank.
A matrix report can display zeros because:
  • The value entered on the corresponding sheet cell is zero.
  • No one has entered a value on the corresponding sheet cell yet.

Drill Down in Reports

To view the child elements in a report, click the arrow next to a parent rollup element.
A row without any child elements displays as a link. Click this link and select a dimension from the
Drill Into
menu. Dimensions include accounts, levels, custom dimensions, or time that's not already in the report. The report builder can specify the dimensions and attributes to limit the drilling options. Selecting one of these drill-down options, such as level, takes you to a new page, which displays the underlying level detail for the selected account.
When done, click
Return to Undrilled Report
in the toolbar.

Explore Cell

When a matrix report enables exploring, you can click the numbers on the report to launch a separate Explore Cell window. Exploring cells is available for GL accounts, Custom accounts, Modeled accounts, Metric accounts, Assumptions, and Cube accounts. It isn’t available for report calculations.
You can’t use Explore Cell in reports when multiple report parameter options are selected. To use Explore Cell, clear the
Allow multi-select
  option for report parameters. This option is available only for parameters that connect to filters. See Enable Multi-Select for Report Parameters
To enable a report for exploring:
  1. From the viewer toolbar, select
    Edit
    to open the report builder.
  2. From the builder toolbar, select
    Report properties
    .
  3. In Report Properties, select
    Allow drill down
    from the Display tab.
  4. Click
    Apply
    .
  5. Save the report.

Report Notes

Add notes to your reports to collaborate on explanations, comments, and questions within matrix reports. They’re comments that you add to describe the specific values and data that display on a report. Notes can refer to the whole report or to specific line items. You can add notes as threaded comments or as final variance explanations. You can view and export report notes either within the body of the report or as footnotes.
