Create a General Access Control Group

Only system administrators can create and manage access control groups.

You can create custom Access Control groups to diversify the range of access levels granted to your leaders. You can also grant members access to specific employee survey data at the driver level rather than only at the question set level. This allows you to better align permissions with the group’s specific responsibilities.

Add group

Type the group name.

As you set the level of access, consider:

Option	Description
Managed employees	Provides each group member access to their already managed employees and segments. To add group members, they first need to manage employees or segments.
All employees	Provides company level access. The settings you enable dictate what actions the group members can perform within this scope.
Individual	Provides access to the member's own individual dashboard data.

As you select how to add members to the group, consider:

Option	Description
Choose manually	Adding or removing group members manually is the most commonly used option. Due to manual effort, this option works best with smaller groups. Because the access control area is only available to administrators, only they can add or remove employees in such groups. This is appropriate for groups that you want to manage centrally. When selecting this setting, you can still automate the adding and removal of group members, by using the Only including and Excluding targeting options to link the group to a segment. As a result, Peakon will populate the group in accordance with the targeted segments. You can remove the targeting options at a later date, which differs to the Choose by segment option.
Choose by segment	Managing access group members through segments enables you to add or remove members from a group in bulk. This option can be useful, but not limited to, in these scenarios: Managers from a specific business unit need different permissions than other same-level managers. Split managers between those with and without access to view or interact with comments. You need a phased roll-out of the Personal Dashboard before rolling it out fully. Enable local administrators to add and remove people from an access control group securely. When using this method in a Managed employees type group, only users that manage a reporting line or a segment can become members of the group.

(Optional) In the

Question sets

section, enable the question sets that users should be able to access.

You can mark the checkbox for an entire question set to grant access to all drivers and questions within it. Alternatively, expand a question set and select individual Drivers to grant specific access. The Values functionality is part of the Engagement question set. Enable Engagement if users should have access to the Values survey results.

section, enable the permissions that users should have. See Reference: Access Control Settings for an explanation of each setting.

Create group

You have set up your Managers group, which provides its members with access to view survey data. Local administrators, who manage their respective business unit segments, need access to upload and maintain employee records in their area.

To satisfy the need, create a new access control group. Select the

Managed employees

access level, and

Choose manually

for adding people to the group. In the settings, enable the same settings as the Manager group, and also enable the required settings from the

Employees

settings section.

Now you can manually add the local administrators to this group. They’ll also remain in the standard

Managers

group, but they be able to upload and maintain employee records due to the settings from the new group.
